Background:
The Senior Pharmacy Program Assistant will work under the direct supervision and reports to the Chief Pharmacy Officer. S/he will provide administrative and logistic support to the Chief Pharmacy Officer and Area Pharmacists.
S/he is a member of the Central Health Unit.
The central health unit provides leadership, support, and guidance to the field teams in implementing IMC’s Health Program in Lebanon.
Job Purpose:
Provides support to the Health program team on a national level with regard to administrative tasks related to procurement and reporting.
Main Responsibilities:
- Interdepartmental Support:
S/he will be responsible to:
-Coordinate with the Logistics department to prepare a unified Procurement Request (PRs) for medication, supplies, printed materials, and equipment
-Prepare Good Issue Orders related to all procurements
-Coordinate with the Logistic department to distribute procured medication, supplies, printed materials and equipment to supported facilities
-Participate in the Selection of offers in bids related to medical procurements
-Participate in the Prequalification process and visits of vendors
- Coordinate with the Finance department on the submission of payment allocations related to procurements.
-Track all effective, pending and projected payments related to procurements
-Work with the Chief pharmacist officer on maintaining an updated procurement plan and follow up on all pending procurement requisitions
-Support the Chief pharmacist officer in the review and analysis of all pharmacy related activities and indicators on a monthly basis
-Refer back to the Chief pharmacist officer for matters that require technical medical expertise.
- Intradepartmental Support:
S/he will be responsible to:
-Coordinate with the Area Pharmacists on the submission and compilation of all Needs Assessments, Quantity Allocations and other requests that may apply
-Coordinate with Health Area Managers on the submission and compilations of all needs assessment and quantity allocations in regard to claim forms, visibility items (stickers, plaques, service banners), medical files, and laptops for IMC staff
-Compile all donated Equipment to the supported facilities in one document and update it upon each new donation
-Develop and update all costing tools used by Area Pharmacists
-Attend Medication distributions at MOPH Warehouse and support Area Pharmacists in counting and cross checking quantities
- Reporting:
S/he will be responsible to:
-Report to the Chief pharmacist officer all effective, pending and projected payments related to medical procurements and alert for any foreseen underspent and/or overspent
-Report to the Chief pharmacist officer /MEAL department all effective donations related to medical procurements
-Work with the Chief pharmacist officer on the review of the pharmacy report submitted by Area Pharmacists on a monthly basis
-Prepare and submit quantitative and qualitative reports to IMC partners and stakeholders like the Ministry of Public Health, WHO and others
- Others:
- Perform other duties as requested by line manager.
- Adhere to all of IMC’s policies and procedures, including Code of Conduct and Security SOPs
Essential Qualifications:
Possession of a BS degree in Biology/Biochemistry/Nursing/Other degree related to the Medical Field
Essential Experience:
A minimum of four years of satisfactory working experience in a Community Pharmacy
