ABOUT THE STRUCTURE…

Solidarités International is an International NGO working with vulnerable populations, mainly victims of armed conflicts and natural disasters. Specialized for nearly 40 years in the coverage of vital needs, S.I. takes charge of emergency and reconstruction programs.

With respect for cultures and close to the people, Solidarités International implements its programs by combining its skills with those of its employees and local managers.

Solidarités International's teams, made up of around 270 expatriates and nearly 2200 local employees, are today present in 18 countries in Asia, Middle East, Africa and Caribbean where they are particularly committed to fighting diseases related to unsafe water but also in the essential area of food security and livelihoods.

 

ABOUT THE JOB

General objective:

Under the supervision of the Grants and Partnership Coordination, the Reporting and Partnership Officer will:

  1. Prepare and compile documentation for donor reporting
  2. Contribute to the development of project documentation as part of proposals
  3. Contribute to internal and external communication and institutional knowledge building as part of the contract management process
  4. Ensure the identification and mapping of potential implementation partners, and participate to the due diligence and selection processes

 

The main challenges:

  • Assessment and identification of mission’s partnership requirements
  • Finalization of mission’s partnership and financial strategy
  • Willingness and possibility of implementing meetings with mapped local actors
  • Stakeholders’ (internal and external) compliance with donor reporting requirements

Priorities for the 2/3 first months:

  1. Prepare and compile documentation for donor quarterly, interim and final reporting
  2. Ensure the identification and mapping of potential implementation partners
  3. Ensure sharing, dissemination and archiving of documents as part of the contract management process
  4. Contribute to internal and external communication

 

Responsibilities and main activities:

Reporting

  • Ensure the proper launching of report writing through the dissemination of a retro-planning and the relevant templates
  • Contribute to the writing of reports and compile inputs from program and support teams at base level
  • Ensure process flow and compliance with the retro-planning
  • Compile report inputs and contribute to the proofreading and review process in line with donor guidelines and in close coordination with the Grants and Partnership Coordinator
  • Ensure submission of reports via the relevant platforms at national level (GMS, APPEL, etc.)

Contribution to proposal development

  • Under the supervision of the GP Coordinator, contribute to launching of concept notes, proposals and amendments development process, including the dissemination of a retro-planning and relevant templates
  • Support program and support teams at base level in the development of concept notes, proposals and amendments
  • Ensure compliance with the agreed process and schedule
  • Ensure consistency of concept notes, proposals and amendments’ contributions and contribute to the proofreading and review process in line with donor guidelines and in close coordination with the Grants and Partnership Coordinator
  • Contribute to the submission process of proposals and amendments using the dedicated platforms at national level

Contract management

  • Update of the RFU/grant tracker on a monthly basis, and share it internally to ensure the respect of deadlines
  • Monitor and disseminate internally audit deadlines
  • Contribute to the organization of project opening and closing meetings
  • Follow-up on compliance with donors’ visibility requirements
  • Support the PMs and the mission to produce external or internal communication material (photos, videos, interviews with teams and beneficiaries, testimonies, etc.)
  • Ensure sharing and dissemination of procedures, guidelines and tools linked to the projects
  • Contribute to the regular dissemination of projects donors’ requirements and rules/regulations
  • Ensure partnership (grant agreements, teaming agreements, sub-award agreements) and audit (internal and external audit documents and reports, due diligence documents and reports) documents are properly archived and shared with the HQ
  • Ensure archiving of correspondence with the donor
  • Ensure project documents (concept notes, proposals, reports, amendments) are properly archived

Partnership management

  • Ensure the mapping of local actors active in SI’s geographical area
  • Undertake meetings and data collection of shortlisted local actors in line with SI’s strategy and positioning
  • Establish a partnership matrix and update it on a regular basis
  • Ensure an understanding SI’s partnership requirements and support the identification of partnership possibilities/prospects
  • Contribute to the development of SI’s partnership strategy
  • Support the due diligence and selection processes

Institutional knowledge-building

  • Ensure regular sharing of project, partnership and audit documents produced at country level with the HQ
  • Ensure dissemination of final project documents and partnership agreement with the relevant stakeholders at country level

 

YOUR PROFILE

Specific skills and experience:

  • At least 3 years experience in INGO/NNGO and at least 2 years in reporting or grants or partnership capacity (or equivalent)
  • Demonstrated experience in proposal writing, donor rules and regulations, validation procedures & coordination of processes
  • Experience in developing/managing partnerships with NNGOs inclusive of grants/sub-grants management
  • Experience with key donors: BHA, ECHO, EU, AFD, UN donors
  • Relevant degree in development studies, social sciences or other relevant field

Soft skills:

  • Ability to independently organize work and prioritise tasks
  • Strong diplomacy skills, patience and clear communication skills
  • Ability to coordinate many departments / teams

 

Language:

  • English required, French & Arabic preferred

 

SI WILL OFFER YOU

A salaried post: 1,650 USD

Paid Leave: 1.5 days/month
