Zoukak Theatre Company and Cultural Association runs various activities such as organizing training, workshops and mentorship programs; producing publications; producing theatre work; hosting & curating events; touring theatre productions in Lebanon and abroad etc. It also runs a theatre venue with various spaces for performances and artistic residencies.
The Executive Manager is accountable for the smooth implementation of all activities (such as scheduling, monitoring and evaluation, narratives and proposals, logistics and operations, the relationship with resident artists and hosts, etc.) as well as the financial management of the association (master budget, annual budget, programs financial controls, etc.). They are supported by an executive team.
The pre-requisite for this position is to have a solid financial and administrative background as well as great experience in program and people management.
Main tasks
Administration, Finance & Legal
- Manage Zoukak financial aspects, in close coordination with the Administration and Finance Officer. This includes the preparation & follow-up on of the yearly budget of the organization, and its presentation to the board on regular basis (3 to 4 times a year)
- Set the financial strategy for the coming 3 years and design the master plan accordingly
- Control the payments and their allocations on a weekly basis
- Supervise day-to-day operations (data entry and archiving, inventory, bank and suppliers’ reconciliations, cash flow management, contracts with suppliers and consultants, procurement, official declarations etc.)
- Ensure all proper financial procedures and internal guidelines are correctly implemented i.e., the compliance with the procedures of the association and donors’
- Ensure opening and closing of cashboxes as per the admin guidelines and budget lines in coordination with the Admin & Finance Officer
- Control the accounting each month & validate the reconciliation with bank statements
- Track the activities’ budgets and ensure the financial control of the on-going activities (budget versus actual)
- Produce financial reporting as per donors’ requirements
- Coordinate with the external auditors with regards to audit of annual financial statements and other certifications
- Ensure that the filing and archiving of administrative, project, and financial documents are implemented on a regular basis (hard & soft copies)
- Ensure that Zoukak Guidelines are updated on a regular basis
- Coordinate with the lawyer for any legal matter related to Zoukak
Human Resources
- Support the recruitment & management of Zoukak consultants/employees; Ensure they have clear objectives and follow-up the adequate implementation of their responsibilities
- Design and facilitate the capacity building of Zoukak staff as needed
- Prepare and contribute to the yearly evaluation with consultants/employees
- Ensure that contracts, invoices and payments are done in due time, in coordination with the Admin & Finance Officer
Monitoring and Evaluation
- Ensure that indicators as stipulated in the log frames are reached as planned
- Cooperate with the Monitoring and Evaluation department to ensure the Monitoring & Evaluation tool is continuously updated, and to adapt it as needed
- Ensure that the donors’ reporting requirements are met
Projects’ Implementation
- Set the annual schedule in close partnership with the General Manager & Artistic Directors
- Ensure that projects are implemented within the expected timeline, budget, and following the agreed log frames
- Follow-up with the Monitoring & Development, Operation and Communication staff to ensure compliance of the implemented activities with the board strategy and donor requirements
Donors’ relation
- Maintain an overview of all grants, donors’ requirements, rules and regulations, and internal and external deadlines
- Develop concept notes and projects proposals in close collaboration with the Development and Monitoring Manager
- Support external donor audits
Production, Operations & Venue Management
In close collaboration with the Production and Operation Manager:
- Supervise the various aspects of production management and logistics related to the delivery of all Zoukak activities
- Supervise the various aspects of production management and logistics related to events hosted or curated by Zoukak
- Follow-up on all the operations related to Zoukak Venue management and logistics (furniture, maintenance, office supplies, fixing if needed, storage of equipment and props etc.).
Strategy
- Collaborate with the General Manager, Artistic Directors as well as the Board of Advisors to identify, create and implement plans to actualize annual objectives
- Allocate budgets and implement policies & procedures to achieve the goals
- Ensure the implementation of the communication strategy
- Ensure the implementation of the sustainability strategy based on multiple levels: revenue generating activities, support program, grants, administrative revenues and fundraising
- Ensure the implementation of the Audience Building strategy

Qualifications and requirements
- Master degree in NGO management development studies or another relevant field
- Several years of experience in development work, NGO or management fields
- Approach, in steering, monitoring and implementing of programs/projects
- Strong background in administrative and financial management
- Knowledge and experience in the region of the Middle East
- Proficiency in Microsoft word, excel, and PowerPoint
- Very good level written and spoken Arabic & English; French would be also appreciated
