Supervisor Medical Data Entry

Main Purpose:

Ensure completion of all activities related to medical data entry and data management into the mission database. Supervise, organize and plan the activity of Data Entry officers/operators, as well as identify their training needs in order to provide a good service support and reliability of the data collected.

Accountabilities:

  •  Supervise, organise and plan the activity of Data Entry officers to have a reliable record of medical activity performed, as well as identify their training/technical support needs in order to provide a good service support and reliability of the data collected.
  • Ensure collation and entry of all data identified by project managers for collection (e.g. morbidity, mortality, surveillance of diseases of epidemics, nutrition, psychological and women’s health, etc) into the appropriate data management system while ensuring quality of data
  • Do quality control data officers’ performance on regular basis
  • Know and ensure proper use of software used for recording (i.e. Fuchia, Epi Info, etc.).
  • Ensure accuracy of the medical data entered into the mission’s database on a regular basis, according to MSF protocols and carry out regular back-ups.
  • Provide technical support to data entry officers/operators in project sites and give response to their training needs.
  • Provide regular statistical reports for the medical team as well as informing the superior of any missing information, major changes or big differences in data.

 

MSF Section/ Context Specific Accountabilities:

 

  • In collaboration with NAM,Supervise, organize and plan the activities of hospital secretaries at the hospital admission, as well as identify their training needs
  • Monitors data entry in different hospital services / units (outpatient, inpatient, operating unit, social worker, health promotion, laboratory, radiology, pharmacy, antibiotic stewardship, etc.)
  • Develop and Update the current EMR system, Understand the technical problem and address this in a timely manner, Solve the problem and follow the process and Instruct the respective end user(s) in order to avoid future similar problems. And Regular follow up of the system currently used and the reporting tool
  • Train and guide all end users. Fixing bugs and issues reported by users
  • Create needed surveys and assessment tools (e.g. KoBo Toolbox) in collaboration with the medical team.
  • Ensure the correct collection and completeness of medical data and its input to hospital databases. Supervise that medical data is processed efficiently in the agreed delays (e.g. daily, weekly, monthly, etc.). Ensure accuracy and reliability of the medical data entered into the hospital databases EMR on a regular basis, according to MSF recommendations and carry out regular back-ups. Immediately report to the deputy medical director any problem in the databases. Troubleshoot in case of IT problems within the EMR system and solving software application issues. Follow up on the technical parts related to the system software and server.
  • Collaborate with different staff members (e.g. social worker, IPC supervisor, etc.) in (re)training on correct patient’s registration and filling data on EMR. Clarify queries, correct errors, and obtain missing information (regular data cleaning). Timely report of missing information, major changes or important discrepancies in the collected data.
  • Sstructure report overviews and templates within the reporting tool linked to the EMR. Follow of specific indicators upon request of the medical team: morbidity, mortality, surveillance of diseases and/or epidemics, nutrition condition, mental health, antibiotic resistance, surgical site infections, etc. Provide detailed medical information upon request to the hospital management team.
  • Create regular medical activities data reports in collaboration with the deputy PMR and PMR. This include surveys and assessments (e.g. KoBo Toolbox for Social Assistance and Health Promotion, etc.).
  • Ensure, promote and maintain confidentiality regarding all registered information.

 

SKILLS AND QUALIFICATIONS:

 

Education

  • Essential Degree in Information and Technology (IT).

Experience

  • Essential working experience in the relevant field of medical data supervisor and  at least one year experience with MSF/ NGO is preferable.

Languages

  • English as mission language and Arabic is essential

 

Knowledge

  • Essential knowledge of use of computer including processing of documents (Word, Excel, Access).
  • VBA knowledge is a must
  • Good background in Database design in Microsoft SQL and Access and Microsoft office products.
  • Technical experience with systems networking, databases, Web development, and user support.
  • Desirable knowledge on medical statistics data bases.
