Project Assistant at the Arab Master's programme in Democracy and Human Rights ( ArMA)

Key responsibilities:

The main responsibilities of the project assistant are executing internal administrative, logistical and financial procedures related to the Arab Master’s programme in Democracy and Human Rights. These tasks include and are not limited to:

  • Support in originating events and meetings of partners and logistics within the internationally-supported, multi-country graduate educational programme.
  • Execute internal administrative and financial procedures
  • Responsible for the Registration procedures of students and their tuition payments
  • Execute ordinary payments, honorarium fees and purchases in coordination with the financial department
  • Interact and coordinate with the financial department and human resources at Saint Joseph University of Beirut
  • Follow up on internal equivalences
  • Handle mobility of students, staff and teachers
  • Manage student registration, attendance, transcripts, graduation and diploma 
  • Manage archives and communication of the programme
  • Ensure close coordination with the academic and project coordinators as per agreed targets.
  • Write descriptions and narratives related to activities in collaboration with the coordinators.
  • Follow up with students, Lecturers and classes
  • Prepare contracts and ensure signatures
  • Support in the application process: organizing received applications, shortlisting candidates, etc.
  • Develop the detailed programme/project work plan in coordination with project officer, and the academic coordinator
  • Prepare, adapt and adjust with the team the programme materials needed for implementation
  • Support the team in the fulfillment of their duties according to program/project design

Qualifications:

  • Holding a BA in Political Science, Economics, Business Administration or similar academic disciplines.
  • Minimum 2 years of relevant experience in administration and management.
  • Experience with project planning in NGOs or educational institutions; environment and report writing.
  • Able to work with minimum supervision.
  • Comfortable working in mixed culture environment.
  • Excellent command of spoken and written Arabic and English Languages.

  • Excellent organization and coordination skills.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Proficiency in MS office.
