Admin Officer/Cashier

CASHIER RESPONSIBILITIES AND TASKS:

  • Perform petty cash management for all the implemented projects
  • Responsible for cash flow level at branch level (safe and petty cash box)
  • Responsible for Excel Book entries according to RESTART’s templates
  • Responsible for cross-checking of allocation as per purchase order signed by Finance Officer
  • Responsible for daily Cash Counts
  • Responsible for preparation of weekly and monthly cash counts for Finance Officer approval (cash checking statement) and reporting any discrepancies
  • Responsible for payment execution at Branch Level
  • Guarantee the security of the cash (notably by daily cash balance, weekly, and end-of-month reconciliations) and confidentiality of information
  • List liquidity needs in concert with his/her line manager 
  • Responsible for preparing payment vouchers for approval by Finance Officer and
  • Coordination before payment is processed
  • Support the Finance Officer in the preparation of the weekly and monthly forecasts;
  • Responsible for follow-up, filing, and labeling of vouchers on monthly basis. Responsible for photocopying the finance vouchers when needed
  • Support the Finance & HR Officer in the preparation of monthly closing of the accountancy;
  • Ensure the accountancy up-to-date bookkeeping (translate invoices, prepare payment stamps, and record entries)
  • Issue vouchers and archive the accounting records according to RESTART’s procedures after final verification of receipts.
  • Prepare and organize financial documents, assist in bill management and external audit compliance
  • Responsible for keeping the Asset Register updated after each purchase
  • Take part in performing additional tasks delegated by the Finance Officer for global accountancy and monthly closure

ADMINISTRATIVE OFFICER RESPONSIBILITIES AND TASKS:

  • Assist with the day-to-day operations of the office
  • Assisting human resources department with personnel databases and recruitment processes
  • Assist with the onboarding and installation of new staff members including personnel-related matters
  • Ensure functionality of necessary office equipment, and requisitioning new equipment and supplies as needed
  • Offer assistance in organizing events, including ordering materials and requisitioning meeting spaces
  • Organizing administrative and logistical aspects of office activities and events, including workshops, meetings and booking the meeting rooms accordingly
  • Manage and monitor the availability of accessories, equipment, stationery, office supplies, and office stock and coordinate with the Procurement department to place orders
  • Coordinate and liaise with building management, landlord
  • Ensure that operational services and contracts are maintained and renewed accordingly (rent,utilities, internet, municipality fees), etc.
  • Ensure timely payments for operational costs such as rent, service fees, utilities, and any organizational memberships.
  • Maintain the organizations’ filing system for Admin documentation and ensure contracts (rent,utilities, and services) are updated on time. 
  • Coordinating building and maintenance issues for general repair (heating and air conditioning,security, etc.) and updating (cleaning, painting, etc.)
  • Ensure that the vehicle log sheet is being filled on every mission
  • Organize trips and missions according to the availability of cars
  • Ensure proper coordination with the drivers on car maintenance and insurance
  • Provide staff and specialists with telecommunication recharge cards in order to complete their telepsychology sessions and keep records of them.
  • Ensure that transportation fees are disbursed in accordance with the updated transportation price list
  • Act as a focal point with RESTART’s stakeholders and reconcile their monthly statements before providing them to accounting department for payment.
  • Take part in performing additional tasks delegated by the Finance Oficer when need be.
