Procurement Support Clerk - Beirut

Background of the project:

Lebanon SC team is going under new assessments and will require additional support during this period in addition to the new type of expected procurement and project launching in the near future.

 

Scope of work

  • Updating supplier data base.
  • Updating Material List.
  • Updating payment tracking sheet.
  • Updating sole procurement tracking sheet.
  • Updating the MSA and contracts tracking sheet.
  • Sourcing new suppliers through site visits and online search.
  • Assist on photocopying, scanning & archiving procurement files.
  • Follow-up internally between SC department and Finance department on procurement related transactions.
  • On behalf of the procurement unit, liaise with the suppliers upon the actual delivery of the items, and coordinate handover to respective programs.
  • Following the guidance of the procurement staff, assist the admin department, to ensure that all fields’ goods, to be dispatched along with all the needed documentation (Waybills…).
  • Work closely with procurement team members by providing the necessary support as deemed necessary.
  • Sending request for feedback regarding suppliers’ performance & update supplier files accordingly.
  • ATC checks.
  • Opening suppliers new accounts.

 

Deliverables:

  • Fully update Procurement folders: data entry+ hard copies filing.
  • Update Procurement trackers.
  • Sourcing new suppliers when needed.
  • Generate ATCs on website.
  • Filing of hard copies and follow up for needed documents.
  • Data entry.
  • Archiving.
  • Scanning documents.

 

Schedule:

 Monday - Friday; 8am-5pm

 

Requirements:

  • Education:  Fresh graduate preferably in business administration, office management.
  • Work Experience: Previous procurement or Customer Service experience is found relative.
  • Demonstrated Skills and Competencies:
  • Ability to work as a member of a team is essential.
  • Positive courteous and professional attitude.
  • Strong interpersonal skills and written and spoken communication in listed languages.
  • Able to maintain composure and prioritize work under pressure.
  • Able to to coordinate multiple tasks and maintain attention to detail.
  • Must be computer literate, including Microsoft Word and Excel/ Power Point.
  • Self-motivated, honest, highly responsible, and punctual.
