MEDICAL MISSION ASSISTANT

Key Responsibilities:

  • Serves as SAMS administrative focal point for US-based and international volunteers before, during, and after missions, responding to mission related inquiries in a timely manner, and communicating registration package, credentials verification requirements, screening and vetting procedures, travel and lodging logistics, feedback mechanisms, country orientation and safety and security materials
  • Collects, inspects, organizes and files all volunteer application materials including application forms, code of conduct forms, credentials and supporting documents, travel documents, and volunteer agreements, according to organization standards and destination country requirements
  • Coordinates the creation of all mission promotional and recruitment materials for posting on different outlets targeting SAMS Members, existing volunteer pools and new recruits in consultation with the mission leaders
  • Coordinates all volunteer preparation and training activities (pre-deployment orientations meetings, pre-deployment patients screening meetings, country specific guidelines, regulations pertinent to carrying medical supplies, and post mission volunteer engagements
  • Supports mission reporting, media coverage, and mission evaluation, including collecting impact data from field staff, surveys and feedback from the mission leader, volunteers, and field staff, and synthesizing internal and external facing reports using this information
  • Maintains SAMS volunteer database to keep track of past and potential volunteers by medical specialty, location, affiliations, availability, and past participation history
  • Attends selected meetings as requested by the supervisor and the mission leader, and provide regular updates on mission preparations through emails and other agreed on communication venues.

Essential Qualifications

  • Completed a university degree, preferably in a related field (Business Administration, Non-Profit Management, Human Resources, Project Management)
  • Has strong organizational skills, time management, respect for deadlines, and attention to details, with ability to manage high volumes of emails and calls.
  • Must be computer knowledgeable and proficient in word processing and spreadsheets
  • Must have excellent command of English and Arabic languages, both written and spoken
  • Possesses strong interpersonal and communication skills and ability to work remotely with a diverse pool of individuals independently and on a team
  • Flexible work hours, which may include some weekends and evenings during peak periods

     

Preferred Qualifications

  • Experience in humanitarian aid and relief sector
  • Experience in human resources and volunteer coordination
  • Experience in visual communication is a plus (creating info-graphics or interactive reports)
