Receptionist/ Secretary

Tasks: 

  1. Greeting and welcoming patients: You will be the first point of contact for patients, visitors, and other individuals entering the facility. Greet them warmly, provide directions, and make them feel comfortable.

 

  1. Appointment scheduling: Manage the appointment system, either through an electronic system or manually. Schedule appointments for patients, reschedule if necessary, and ensure proper coordination with healthcare providers' availability.

 

  1. Patient registration: Collect necessary information from patients, such as personal details, medical history, and insurance information. Enter this information accurately into the system and update patient records as required.

 

  1. Answering phone calls: Handle incoming calls, provide information, and address inquiries or concerns. Direct calls to the appropriate departments or healthcare professionals as needed.

 

  1. Check-in and check-out procedures: Assist patients with the check-in process, including verifying their identity, confirming appointments, and collecting any required forms or documents. During check-out, coordinate billing and payments, issue receipts, and schedule follow-up appointments.

 

  1. Maintaining patient confidentiality: Adhere to strict confidentiality policies to protect patient information and privacy. Ensure compliance with the organization regulations and maintain the security of patient records.

 

  1. Handling administrative tasks: Assist with administrative duties such as filing, organizing medical records, maintaining office supplies, and managing correspondence. Help with the completion of forms, reports, and other necessary documentation.

 

  1. Assisting with patient inquiries: Respond to patient inquiries or concerns, providing general information about the facility, services, and policies. Exercise empathy and professionalism while addressing patient needs and resolving complaints or issues whenever possible.

 

  1. Coordinating with healthcare staff: Collaborate with doctors, nurses, and other healthcare professionals to facilitate smooth patient flow, provide necessary information, and ensure effective communication among the care team.

 

  1. Multitasking and problem-solving: Juggle multiple tasks simultaneously, prioritize effectively, and handle unexpected situations or emergencies with composure. Problem-solving skills are essential to address various challenges that may arise during the day.

 

  1. Maintaining a clean and organized reception area: Ensure the reception area is clean, tidy, and welcoming. Keep reading materials updated, display relevant health information, and arrange seating to accommodate patients' needs.
