SVN10012 Programme Assistant (IBG) - G4

Context:

Under the overall supervision of the Head of Programmes and the direct supervision of the Immigration and Border Governance (IBG) Programme Manager, the successful candidate will support the planning, coordination, and implementation of the IBG programme in Lebanon.

Core Functions / Responsibilities:

1- Provide overall support in the implementation of programme activities.

2- Assist in monitoring project budgets, including tracking expenditures, verifying financial documents, and preparing budget reports.

3- Organize and maintain project documentation and records, monitoring their accuracy and completeness.

4- Facilitate communication and collaboration with different organizational units and external entities. This includes initiating requests, obtaining required clearances, managing administrative processes, and ensuring effective follow-up.

5- Support the preparation and organization of meetings, workshops, and training sessions, including logistical arrangements, agenda preparation, and documentation.

6- Assist in the drafting of project proposals, concept notes, and other relevant documents.

7- Assist in monitoring and evaluating programme activities, including data collection, analysis, and reporting. Support knowledge management activities by gathering and disseminating relevant information, best practices, and lessons learned.

8- Contribute to project visibility by assisting in the drafting and dissemination of communication materials, such as success stories, newsletters, and social media content.

9- Contribute to the preparation of progress reports, briefing notes, and presentations.

10- Conduct research to support data analysis and synthesis.

11- Perform any other related duties as assigned.

Required Qualifications and Experience:

Education:

  • School diploma with four years of relevant experience; or,
  • Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with two years of relevant professional experience.

Accredited Universities are those listed in the UNESCO World Higher Education.

Experience:

  • Proven experience in providing support in project or programme implementation.
  • Experience in liaising with governmental authorities, United Nations agencies and non-governmental organizations is an advantage.
  • Prior work experience with UN and other international organizations, non-government or government institutions in a multi-cultural setting is an advantage. 
  • Experience in migration, border management, and security sector reform is an advantage.

Skills:

  • Strong organizational and administrative skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in using MS Office applications (Word, Excel, PowerPoint) and other relevant software.
  • Ability to work effectively in a team and independently with minimal supervision.
  • Attention to detail and accuracy in work.
  • Knowledge of project management principles and practices is desirable.

Languages:

For all applicants, fluency in Arabic and English is required (oral and written).

Working Knowledge of French
