PROJECT OFFICER / ADMINISTRATOR

KEY RESPONSIBILITIES

The Project Officer/Administrator will be responsible for the following tasks:

  • Assist in the development and maintenance of project plans, schedules, and timelines.
  • Coordinate meetings, workshops, and other project-related events.
  • Ensure that project tasks are carried out according to the established plan.
  • Maintain project documentation, including meeting minutes, project reports, and correspondence.
  • Keep project records organized and accessible.
  • Facilitate communication among project team members and stakeholders.
  • Act as a point of contact for project-related inquiries.
  • Assist in the allocation and management of project resources, including personnel, materials, and equipment.
  • Identify and document project risks.
  • Ensure that project deliverables meet established quality standards.
  • Provide general administrative support to the project team.
  • Schedule meetings, book venues, and handle other logistical arrangements.
  • Address day-to-day challenges and problem-solving within the scope of the project.
  • Escalate issues to the project manager when necessary.
  • Ensure that the project activities comply with relevant policies, regulations, and procedures.
  • Contribute to project evaluations and lessons learned sessions.
  • Identify opportunities for process improvement and efficiency.

REQUIREMENTS FOR POSTION

The ideal candidate should possess the following qualifications and experience:

Your knowledge, experience & skills:

  • A bachelor's degree in business administration, project management, or a related field is often preferred.
  • 1 - 2 years of experience in project coordination, administration, or a related field. (Preferable at NGOs/iNGOs).
  • Familiarity with project management principles, methodologies, and best practices.
  • Understanding of project life cycles and the ability to contribute to project planning and execution.
  • Strong administrative and organizational skills, including attention to detail and the ability to manage multiple tasks simultaneously.
  • Proficient use of office software such as Microsoft Office (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.

  • Ability to identify issues, troubleshoot problems, and propose effective solutions.
  • Critical thinking skills to address challenges that may arise during project execution.
