Detailed Job Description
Develop, update, and implement financial policies, procedures, and controls in alignment with regulatory standards and donor guidelines.
Ensure compliance with international Financial Reporting Standards (IFRS), legal regulations, organizational guidelines, and donor requirements. Conduct regular reviews of employment and working conditions to ensure legal compliance and employee wellbeing.
Manage budgeting processes, including preparation, monitoring, and reporting on budgets to donors while strictly meeting deadlines.
Collaborate with project managers to track project expenses, funding utilization, and grant compliance, ensuring no overspending and effective use of underspending. Monitor monthly payslips and timesheets for all team members before reporting to donors.
Conduct financial analysis, forecasting, and risk assessment to support strategic decision-making and organizational sustainability.
Prepare financial reports, statements, and presentations for internal management, including the Head of Operations, donors, partners, Board Members, and auditors. Generate detailed financial reports from the ERP system, ensuring data accuracy and timely completion of reports.
Oversee accounting functions, including accounts payable/receivable, payroll, and reconciliations, maintaining accurate financial records. Supervise accounts payable and accounts receivable processes, issue invoices, prepare statements of account, and resolve discrepancies. Ensure timely and accurate tax filings, audits, and financial reviews as required by law and organizational policies.
Perform weekly cash counts with the admin officer and report findings to the Head of Operations. Monitor and conduct spot-checks on cash flow, bank accounts, donor funding, fixed assets, and financial performance, recommending actions for efficiency improvements.
Provide guidance and support to the accounting team and cashiers, promoting a culture of compliance and integrity. Mentor and offer technical guidance to junior accounting staff as needed. Support and answer all team questions related to examinations, eligibility, salaries, benefits, taxation, and other inquiries.
Maintain all finance-related documents in a secure location, both in hard and soft copies. Ensure that all financial and administrative documents are scanned, archived, and maintained systematically.
Act as the primary contact with banks and financial service providers for account processes and transactions. Prepare audit documentation and respond to inquiries from auditors and regulatory bodies.
Collaborate with the MEAL department to ensure all financial reporting and documentation meet donor and organizational requirements.
Lead month-end, quarter-end, and year-end financial closing processes, ensuring timely and accurate reporting. Allocate payment vouchers across programs and projects to ensure accurate financial tracking and reporting.
Perform additional tasks and special assignments as requested by the Head of Operations.
Reports to: Head of Operations, People and Culture
Supervisory Responsibility: Junior Accountant, Senior Accountant, Accountant, Admin Officer, Driver.
Collaborates and Works with: Executive Director, Head of Programs, Project Managers, Procurement, People & Culture, PDQ, and Communication.
Knowledge and Experience
Bachelor's degree in Finance, Accounting, or related field. Master's degree or professional certification (e.g., CPA, CFA) is a plus.
Minimum 5 years of experience in financial management.
Minimum 4 years of experience in leadership and management.
Strong knowledge of financial principles, budgeting, accounting standards.
Proficiency in financial software (ERP Microsoft Dynamics system is a plus)
Proficiency in Microsoft Office Suite, with advanced Excel skills for financial analysis.
Advanced proficiency in MS Office applications (Excel, Word, PowerPoint), including VLOOKUP, pivot tables, and complex financial modeling.
