Admin Assistant

Job Summary: The Administrative Assistant will support the Finance team with various financial and administrative tasks. Responsibilities include preparing cheques, managing expenses, conducting asset checks, and performing general administrative duties related to the organization's financial operations.

Key Responsibilities:

  1. Cheque Preparation and Expense Management:
  • Assist the finance team in preparing bank letters and cheques for bank exchange transactions, including the preparation and filing of supporting documentation.
  •  Support the finance team in reviewing and processing RDFL branch expense reports, ensuring timely receipt of supporting documents and monthly balance sheets from branches, and maintain organized filing.
  •   Prepare and verify the accuracy of cheques for RDFL branch expenses based on provided documentation.
  1. Asset and Vehicle Management:
    • Conduct regular checks on all RDFL branch assets, including laptops, phones, and other equipment.
    • Monitor and track vehicle usage and fuel logsheets for RDFL vehicles.
    • Follow up with employees regarding the status of RDFL assets (e.g., laptops, phones) and coordinate repairs or maintenance when necessary.
  2. Administrative Support:
    • Scan and digitize financial and administrative documents for proper record-keeping.
    • Maintain an organized filing system for all related financial and asset documents.
    • Follow up with employees on any pending issues regarding assets that need repair or maintenance.
  3. Employee and Branch Support:
    • Ensure monthly charging of the RDFL team's company cards.
  4. Branch Visits:
    • Visit RDFL branches once per month with the RDFL driver to conduct asset and vehicle checks and ensure proper documentation.
    • Ensure that assets at each branch are well-maintained and in good working order.
  5. Miscellaneous:
    • Perform any other administrative or financial duties as requested by the finance team.

 

 

Qualifications & Skills:

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field (preferred).
  • Previous experience in a finance or administrative role is an advantage.
  • Knowledge of financial processes, asset management, and expense tracking.
  • Proficiency in MS Office, especially Excel (knowledge of accounting software is a plus).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive financial information.
  • A valid driver’s license is preferred (for branch visits).

Working Conditions:

  • Full-time position
  • Office-based with regular visits to RDFL branches twice per month.
  • Occasional flexibility for remote work depending on company policy.
