The post holder will undertake the appropriate level of training and is responsible for ensuring that they understand and work within the safeguarding policies of the organisation.

The Accountability Assistant supports efforts to maintain, and enhance a culture of accountability, transparency, and ethical compliance across Oxfam. This role involves assisting in answering the calls received through the Oxfam Accountability Helpline, ensuring all feedback and complaints are properly registered in the Oxfam Referral System, and following up on any necessary actions to address concerns raised by affected populations. The Accountability Assistant works closely with the Senior Accountability Officer, MEAL team, and Planning and MEAL Advisor to help ensure that the highest standards of Accountability to Affected Populations (AAP) and ethical behaviour are upheld.

Responsibility 1: Handling Oxfam helpline(s).

  • Answer calls and respond to inquiries received through the Oxfam Accountability Helpline, providing timely and appropriate responses.
  • Collect, organize, and categorize feedback and complaints from affected populations to identify trends and areas requiring attention.
  • Ensure that all accountability work is carried out with sensitivity to gender and protection issues, promoting inclusivity and safeguarding.
  • Contribute to strengthening the AAP system by documenting lessons learned, providing recommendations, and identifying gaps.
  • Offer Psychological First Aid by assisting callers in distress and providing immediate emotional support to stabilize their situation.
  • Refer the cases in need for assistance internally/externally and follow- up with the relevant focal points until case closure.

Responsibility 2: Feedback and Accountability Mechanisms.

  • Work closely with the Senior Accountability Officer and other relevant colleagues to implement and manage beneficiary compliance and feedback mechanisms, ensuring effective collection of complaints and feedback from beneficiaries and clear communication with the field team.
  • Accurately register all feedback and complaints in the Oxfam Referral System, ensuring proper tracking, follow-up, and resolution of issues.
  • Collect feedback and complaints from various channels (WhatsApp, feedback boxes, online forms, social media, email) to enhance service quality and accountability.
  • Ensure all feedback and complaints are handled with confidentiality, respect, and in full compliance with ethical guidelines.
  • Monitor and track trends in feedback and complaints, identifying recurring issues or patterns, and work closely with the Senior Accountability Officer to ensure timely and appropriate action is taken based on these trends.

Responsibility 3: Field Work

  • Do regular field visits to monitor the distribution/activity/outreach sites.
  • Actively collect feedback from people during emergency focusing on their needs and limitations.
  • Report back to line manager trendy observations, feedback analysis, and recommendations.
