- Develop procurement policies and processes and manage all procurement activities related to Safadi Foundation
- Obtain quotations from suppliers for the purchase of goods and services
- Ensure all purchasing activities conducted within delegations of authority and that appropriate approvals have been provided prior to issuing purchase order for goods or services
- Prepare and process purchase orders and documents in accordance to the specifications provided and in line with Safadi Foundation procurement policies and procedures or donors guidelines depending on whichever prevails.
- Establish and maintaining supplier relationships
- Secure and negotiate for best purchasing package (in terms of quality, price, term, delivery and service) with suppliers
- Develop, compile, reconcile, and/ or update information in the supplier databases to provide effective processing, information management and reporting.
- Liaise with Finance to ensure payments to suppliers against purchase orders and issuance of required documentations
- Maintain complete updated purchasing records/data and pricing in the system, and conduct cost benchmarking for products
- Handle and monitor of claims to suppliers for defectives, shortage and missing goods
- Track all customers POs through maintaining procurement lifecycle tracker tool for all issued LPOs (Tracks from LPO issuance to delivery)
- Prepare and maintain a separate file for each LPO/contract to include all supportive documentation
- Liaise with legal where needed on all legal matters/issues
- Conduct inbound and outbound logistics for purchased goods
- Perform any other duties as determined by the General Manager
