Project Coordinator

The Project Coordinator will be responsible for ensuring that all project activities are planned, implemented, and monitored efficiently and effectively within the designated timeframe. The coordinator will be expected to carry out the following tasks:

Management, Coordination and Representation

  • Ensure the timely execution of SIDC’s activities under each dedicated grant, in accordance with the approved work plan, budget, and donor-agreed timeline
  • Monitor the progress of program activities and take appropriate action in coordination with team members and under the supervision of the Executive Director.
  • Prepare sub-agreements with partners as needed.
  • Manage consultants responsible for delivering specific activities and projects within the work plan, including drafting Terms of Reference (ToRs), coordinating their validation with relevant staff, following up on recruitment, and overseeing final deliverables.
  • Maintain a positive and collaborative working relationship with team members through regular updates on the implementation of program activities.
  • Foster effective working relationships with stakeholders, including partners, consultants, and other relevant bodies to the project.
  • Participate in regular monitoring meetings with SIDC’s partners and donors, alongside SIDC’s program team and management. Contribute to proposal development and grant negotiations for future funding, under the supervision of SIDC’s Management.
  • Coordinate and liaise with national and regional partners, as needed, to ensure their active participation and meaningful contributions to key deliverables.
  • Represent SIDC at external meetings and relevant events.

Grant implementation and oversight

● Ensure oversight of the project budget and regularly monitor expenditures in relation to planned activities.
● Ensure procurement processes are carried out in a timely and high-quality manner, in accordance with organizational and donor policies.
● Prepare, share, and discuss guidelines for the distribution of items/kits when needed, and train the relevant staff accordingly.
● Prepare and submit monthly, quarterly, semi-annual, and annual reports as outlined in the signed agreement, ensuring accuracy and timely submission to the donor.
● Support the implementation of monitoring and evaluation tools, and promptly report any challenges encountered during program implementation.
● Draft all required financial and programmatic reports as per the agreed reporting schedule, and prepare any additional reports requested by the donor, including seeking prior approval for amendments.
●  Prepare and monitor the regular cash flow of activities and respective budget lines.
●   Follow up on the development of financial reports, review content for accuracy, and provide final confirmation.
●   Provide all necessary supporting data and documentation to SIDC’s accounting team, ensuring full compliance with SIDC’s contractual obligations and donor requirements.
●  Prepare all procurement requests related to project implementation.
●   Draft and manage contracts with service providers, including revisions and extensions when required.
●   Review and sign delivery slips for all procured items.
●   Review and validate the content of narrative reports developed by the Monitoring & Evaluation (M&E) team.
●   Verify progress against log-frame indicators.
●   Review data entry and data extraction for consistency and completeness.
●    Collaborate with designated safety and security personnel, as well as AAP (Accountability to Affected Populations) and PSEA (Prevention of Sexual exploitation and Abuse) focal points to ensure the protection of staff, partners, and beneficiaries.

Required Qualifications, Skills, and Experience:

  • At least 3 years of proven experience in project management is a must
  • Preferably a master’s degree in Social Sciences, Social Work, Public Health, International Cooperation/Relation, Program Management or any other related fields. 
  • Experience of managing grants and multi-country workplans. 
  • Experience in managing consultants for the delivery of agreed objectives to high quality standards and agreed deadlines. 
  • Excellent writing and communication skills; ability and proven track record to prepare and present clear and concise communications and reports in both English and Arabic, French is highly desirable.
  • Proven experience in budget management and contract compliance.
  • High computer literacy; familiarity with standard word processing, spreadsheet, database, publishing, internet research, and e-mail communication.
  • Personal commitment, flexibility, efficiency, and good time management with the ability to make effective decisions under pressure.
  • Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds and have strong diplomatic skills when communicating with a range a stakeholder.
  • Ability to provide regular concise and clear updates to an overseeing management structure to facilitate decision making in a timely manner.
  • Fluency in English and Arabic is required (oral and written) and French is highly desirable.
