Warehouse Keeper

Job Description:

The Warehouse Keeper is responsible for the safe storage, handling, and tracking of goods, supplies, and equipment within the warehouse. This role ensures that inventory is managed efficiently and that distribution aligns with the needs of the education or humanitarian project. The position plays a critical role in supporting project operations by maintaining accurate records and ensuring timely dispatch of materials.

Key Responsibilities:

Warehouse Management

  • Organize and maintain a clean, safe, and well-structured warehouse environment.
  • Ensure proper labeling, stacking, and storage of items.

Inventory Control

  • Receive, inspect, and verify incoming goods and materials.
  • Maintain accurate records of stock levels using inventory management tools (manual or digital).
  • Conduct regular physical inventory checks and report discrepancies.

Receiving & Dispatching

  • Prepare and document goods for dispatch according to requests.
  • Coordinate loading and unloading of items and ensure proper documentation (delivery notes, receipts, etc.).
  • Ensure timely delivery to relevant departments, field offices, or schools.

Documentation & Reporting

  • Keep up-to-date stock cards and inventory tracking sheets.
  • Prepare weekly and monthly inventory reports for management.
  • Report any damages, losses, or irregularities immediately.

Security & Safety

  • Ensure that the warehouse is locked and secured at all times.
  • Follow health and safety guidelines when handling hazardous or heavy items.
  • Monitor temperature or storage conditions for sensitive goods (e.g., electronic devices, educational materials).

Coordination

  • Liaise with procurement, logistics, and program teams regarding incoming and outgoing shipments.
  • Support audits and spot checks conducted by internal or external teams.

Qualifications and Experience:

  • High school diploma or equivalent (vocational training in logistics is a plus).
  • Minimum 1–2 years of experience in warehouse or inventory management (preferably in NGO or project settings).
  • Knowledge of basic inventory software or Excel.
  • Strong organizational and attention-to-detail skills.
  • Ability to lift and move heavy items safely.
  • Trustworthy, reliable, and proactive.
