Grants Coordinator

Job Description:

Grants Prospecting and Fundraising

  • Conduct regular mapping and research of donor trends, funding streams, and grant opportunities aligned with LUPD’s mission and strategic objectives.
  • Maintain an organized and up-to-date database of potential funding opportunities, deadlines, and eligibility criteria.
  • Analyse funding opportunities and assess fit with LUPD programming.
  • Share promising calls and opportunities with program and management teams for decision-making.
  • Liaise with relevant departments to ensure buy-in and strategic alignment before initiating proposal processes.

 

Proposal Development and Donor Compliance

  • Coordinate and lead the development of high-quality proposals, concept notes, and expressions of interest in collaboration with program, MEAL, and support teams.
  • Draft, edit, and proofread proposal sections, ensuring clarity, logic, and alignment with donor templates and requirements.
  • Collect and compile required attachments such as budgets, financial statements, organizational documents, and letters of support.
  • Ensure the integration of cross-cutting themes such as inclusion, disability rights, and gender equity in all proposals.
  • Manage proposal development timelines and submission processes to meet internal and donor deadlines.
  • Format and submit applications through appropriate channels (email, online platforms, etc.).

 

Grant Management and Reporting

  • In collaboration with the program manager, establish and maintain an internal grant tracking and management system.
  • Support the program manager in the grant start-up, review, and close-out meetings with relevant staff.
  • Monitor donor requirements and disseminate reporting timelines, formats, and compliance obligations across departments.
  • Support and/or lead the preparation of narrative and financial reports in coordination with program, MEAL, and finance teams.
  • Ensure donor communications are well documented, and that changes, challenges, and key updates are shared with donors in a timely and professional manner.
  • Maintain comprehensive and up-to-date grant files accessible to relevant staff.

 

Partnerships and Donor Engagement

  • Act as the focal point for donor communication on grants-related matters, supporting relationship-building with institutional donors and foundations.
  • Support the identification and engagement of strategic partners for joint proposals or consortium applications.
  • Contribute to the development of concept notes and organizational capacity statements tailored to different donor profiles.
  • Represent LUPD in relevant donor, partner, and coordination meetings as requested.

 

Cross-Cutting Coordination and Strategic Planning

  • Work with the LUPD president, Executive Director and program leads to align fundraising efforts with organizational priorities and programmatic vision.
  • Support the development and regular review of LUPD’s fundraising and institutional donor strategy.
  • Contribute to internal learning by documenting lessons learned from grants won and lost.
  • Support the development of internal tools/templates to streamline the grants cycle (e.g., proposal calendar, proposal review checklist, reporting tracker).
  • Ensure capacity sharing across departments to strengthen donor compliance and grant-writing skills.

 

Qualifications and Skills:

Experience: 2 to 5 years of relevant experience in proposal writing, grant management, and donor coordination.

Education: University degree in Social Sciences, Development Studies, International Relations, or a related field.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant applications.
  • Strong skills in database management and information organization.
  • Good understanding of budgeting, financial tracking, and grant reporting.
  • Familiarity with donor regulations, compliance requirements, and funding procedures.

 

Communication Skills:

  • Excellent written and verbal communication skills in both English and Arabic.
  • Proven ability to write and edit high-quality proposals and donor reports.
  • Strong interpersonal skills and the ability to engage effectively with colleagues and external stakeholders.

 

Analytical Skills:

  • Ability to interpret financial and program data to support informed decision-making.
  • Skilled in collecting, analyzing, and presenting data in reports and presentations.

 

Organizational and Management Skills:

  • Strong organizational skills with the ability to manage multiple deadlines and prioritize tasks.
  • Self-motivated with the ability to work independently and collaboratively across teams.

 

Additional Assets:

  • Familiarity with local and community-based funding mechanisms.
  • Knowledge of key trends in humanitarian and development funding.
  • Understanding of cross-cutting themes such as inclusion, gender equity, and disability rights.
  • Commitment to LUPD’s mission and values, and to the rights and dignity of people with disabilities.
