Operations Manager

Key Responsibilities

1. Government & Regulatory Engagement

- Serve as the organization’s primary liaison with relevant government ministries (e.g., Ministry of Interior, Ministry of Finance, etc.).

- Work with the accounting firm to ensure timely submission of legal documents, annual reports, registrations, and compliance materials.

- Track and manage the organization’s legal obligations under Lebanese law.

 

2. Organizational Systems

- Lead the setup and management of key operational systems including: Procurement management, HR and payroll systems, Sales processes, Production processes and Quality Control Management

- Implement and improve internal systems for task tracking, document management, and reporting, etc.

- Train staff on implementation of new processes and tools and ensure continual use

- Facilitate team coordination and communication

 

3. Financial Administration

- Oversee the establishment of a bank account and serve as point of contact for financial institutions.

- Work closely with external accountants to ensure transparent financial systems and reporting.

- Oversee the Bookkeeper to input transactions and produce monthly financial reports.

- Support the annual audit, and donor reporting processes.

- Ensure clear financial procedures and controls are in place.

 

4. Compliance & Risk Management

- Maintain up-to-date records of all legal, contractual, and regulatory documents.

- Monitor compliance with labor, data protection, and financial regulations.

- Identify and flag operational risks and propose mitigation measures.

 

Preferred Qualifications

4+ years of relevant experience in operations, administration, or nonprofit management (startup/NGO experience preferred)

Strong organizational, planning, and team coordination skills

Comfortable working independently and wearing multiple hats

Experience with finances and budgeting

Excellent written and verbal communication skills (English & Arabic required)

Alignment with our mission and a proactive, can-do attitude

Experience working with part-time or remote teams

Familiarity with donor reporting or grant compliance

Comfort with tools like QuickBooks
