Main Responsibilities of the Position
The HR Assistant will support various human resources functions across the Bourj Hammoud and Sin El Fil projects. Responsibilities include maintaining staff records, supporting employee relations and staff care, managing payroll and timesheets, and performing other key HR tasks. The role requires strong interpersonal skills, keen attention to detail, and the ability to handle sensitive employee information with confidentiality and discretion.
1-Staff File Organization:
- Maintain and update comprehensive and accurate employee files in accordance with organizational standards.
- Ensure the secure and confidential management of all staff-related documentation.
2-Payroll Administration:
- Prepare monthly payroll while ensuring the accuracy of timesheet entries and payroll data.
- Verify payroll information and ensure all payroll-related documents are properly filed and maintained.
3-Recruitment Support:
- Coordinate and schedule interviews between candidates and hiring managers to facilitate the recruitment process.
- Support seamless and efficient recruitment experience, ensuring alignment with the organization’s staffing needs.
4-Onboarding & Contract Drafting:
- Assist in the onboarding process for new employees, ensuring a smooth and welcoming experience.
- Draft, review, and ensure the timely issuance of contracts for all staff, ensuring compliance with organizational and legal requirements.
5-Staff Care and Support:
- Provide HR-related support and guidance to staff members, addressing inquiries and concerns in a timely manner.
- Monitor and follow up on employee concerns to ensure prompt resolution and effective support.
6-Training & Development:
- Coordinate and conduct training sessions at the project level to enhance staff skills and knowledge relevant to their roles.
- Identify training needs and support the development and delivery of training programs to ensure staff are equipped with necessary competencies.
7-General HR Operations:
- Keep track of staff annual leave balances and update the trackers on a weekly basis.
- Update the list of staff relating to the projects of Bourj Hammoud and Sin El Fil on the HRIS system monthly.
- Assist in drafting employment letters for staff.
- Assist in the execution of HR-related tasks as assigned by the Project Manager or Country Human Resources Officer.
- Ensure the efficient and timely completion of any additional administrative responsibilities related to human resources functions or any other report required by the country HR.
Qualifications, Skills, and Attributes
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- At least 1 year of experience in HR operations, administration, or related HR functions, ideally at a country level.
- Strong attention to detail, excellent organizational skills, and the ability to manage multiple tasks effectively.
- Excellent communication skills and the ability to collaborate with HR at country level.
- Strong problem-solving skills and the ability to manage sensitive employees matter confidentially.
- Knowledge of insurance providers and employee benefits.
