TENDER FOR HOTEL SELECTION FOR INTERNATIONAL ALERT TRAINING PROGRAM

 

About the project

International Alert Lebanon is implementing the Women, Peace and Security in Arab States – Phase III in partnership with UNW.

  1. Services Required:

The selected Venue  is expected to provide the following specific services:

 

a. Meals:

- Each day, 1 coffee break 1 lunch

 

b. Meeting Facilities:

Access to standard training equipment, including:

  • LCD projector and screen
  • Micrphones
  • Flipcharts and markers
  • Stable Wi-Fi connection
  • Notepads and pens

 

c. Parking Facilities:

 Sufficient parking spaces for participants are included in the overall price.

 

  1. Expected Number of Participants
  1. The training program will consist of two main workshops at Tyre.
    • A total of 32 training days are planned during this period.
  1. Workshop 1:
    • Total Participants: up to 40
    • Duration: 2 days
    • Tentative Dates: September 4,6, 2025

 

  1. Workshop 2:
    • Total Participants: up to 200
    • These participants will be divided into 10 groups, with approximately 20 participants per group.
    • Each group will attend a 3-day training session separately.
    • Tentative Period: Throughout September and October 2025

 

 

  1. Payment Method:

Payment will be made via bank transfer within 14 days of the completion of the training program. The payment details will be provided by International Alert upon acceptance of the proposal.

 

  1. Security and Emergency Plan:

The selected hotel must have a comprehensive security and emergency plan in place, including but not limited to evacuation procedures, emergency contact information, and availability of medical assistance. In addition, given the potential risks associated with conflict or war, the hotel's emergency plan should specifically address contingencies for such situations. This plan should be shared and discussed with International Alert before finalization to ensure alignment with safety protocols and procedures.

 

 

 

  1. Long-Term Agreement:

International Alert is seeking to establish a long-term partnership with a chosen venue for hosting recurring training programs. The initial agreement will include upcoming training sessions outlined in the program section above. Nonetheless, International Alert reserves the right to terminate the agreement if it finds the venue’s performance unsatisfactory.

 

 

 

  1. Proposal Submission:

Interested venues are requested to submit their detailed proposals by August 29,2025. The proposals should include:

 

  • A financial offer (cost per person or per day, inclusive of VAT)
  • A detailed breakdown of the services offered
  • Venue capacity and availability during the proposed dates
  • Photos of the meeting room and facilities
  • Valid registration and VAT documents

 

  1. Proposal Evaluation:

Proposals will be evaluated based on:

 

-Suitability of the venue’sfacilities and services for the training program.

-Pricing competitiveness.

-Emergency security and crisis management plan.

-Flexibility in cancellation terms.

International Alert reserves the right to accept or reject any proposal and is not obligated to select the lowest bidder. The decision will be communicated to the selected hotel after the evaluation process is completed.
