Procurement and Logistics Coordinator

The Procurement and Logistics Coordinator ensures efficient, transparent, and compliant delivery of logistical and procurement support across MAG’s operations in Lebanon. The role focuses on managing large tenders, ensuring effective and timely delivery of goods and services, coordinating end-to-end supply chain processes, and driving continuous improvement in procurement and logistics systems in line with MAG’s policies and SOPs, in continuous coordination with the Procurement and Logistics Manager.

Reporting to the Procurement and Logistics Manager, the Coordinator also supports continuous process improvement and serves as Acting Manager when required to ensure seamless operational continuity.

This role is based in Nabatiyeh with frequent travels to Beirut and other areas based on needs and requires flexibility withrespect to location.

Principal Responsibilities

Coordination and Compliance

  1. Ensure adherence to MAG’s policies, handbooks, guidelines and donor requirements
  2. Prepare and submit monthly logistics and procurement reports and analysis to the (PLM)
  3. Ensure proper filing system for all support documents
  4. Support the Procurement and Logistics Manager in strategic logistics planning and analysis.
  5. Act as Procurement and Logistics Manager when required.

Procurement

  1. Handle all large-scale procurement (tenders) for MAG projects in collaboration with the Procurement and Logistics Manager (PLM).
  2. Ensure procurement plans are prepared, regularly updated, and aligned with project implementation timelines.
  3. Responsible for all procurements related to WAM project. 
  4. Ensure implementing MAG Procurement and Logistics policies by maintaining a high-quality procurement system that is accountable, transparent, and compliant with donor and local legislation (LAF/ LMAC guidelines).
  5. Ensure the procurement tracker/Tool is up to date.    
  6. Maintain up to date supplier database and minimum MAG requirements are met by the suppliers and service providers before incurring any cost; develop robust local supplier relationships.
  7. Ensure proper tracking of all payments related to FWA and long-term contracts e.g construction contracts
  8. Ensure supplier’s evaluations are conducted frequently and report any observations timely to the PLM
  9. Ensure proper filing system of all procurement files including the handover certificates.

Logistics

  1. Coordinate with the fleet officer on the needs related to WAM project.
  2. Coordinate with the storekeeper in the storage needs for large deliveries.
  3. Responsible for tracking and reporting all asset related to WAM project.
  4. Responsible for all logistics needs related to MAG’s office and Guest house in Beirut and other locations related to WAM project. 
  5.  Assist the Procurement and Logistics Manager with the management and coordination of asset disposal.
  6. Identify opportunities to improve cost and time efficiency and report recommendations to the Procurement and Logistics Manager for review. Ensure safety, security, and environmental considerations are integrated into all logistics operations.

 

Essential Requirements

  • Bachelor’s degree in business, management, supply chain, or equivalent study and experience.
  • At least 3 years relevant experience, preferably working in the humanitarian sector in Lebanon on projects funded by international donors.
  • Good inter-personal and communication skills with ability to engage professionally with stakeholders and suppliers in a cross-cultural environment.
  • Good analytical and problem-solving skills.
  • Good organizational and time management skills; ability to thrive in fast-paced environments and manage tight deadlines.
  • Proficient in English Language (Spoken and written skills)
  • Proficient in MS Excel.
  • Valid driving license for Manual gear.

Preferred Requirements

  • Prior experience in procurement of construction and contract management is preferred.
  • Experience in managing high-value or complex tenders.
  • Proven track record in process improvement, efficiency enhancement, or leading operational initiatives.
  • Familiarity with humanitarian or international donor compliance frameworks
  • Experience in preparing, analyzing, and presenting reports to management for decision-making.
  • Familiarity with procurement and logistics to streamline operations and ensure compliance.

 

GENERAL

All MAG staff is expected to undertake the following general duties:

  • Understand and uphold the standards outlined in MAG’s Safeguarding Framework, acting with due care and attention to safeguard the wellbeing of anyone that comes into contact with MAG’s work and reporting concerns if they do arise.
