Finance Assistant

Under the supervision of the Finance Officer, the Finance Assistant will support in managing day-to-day financial operations, ensuring accurate documentation, compliance with organizational policies, and timely financial reporting.

Responsibilities

The Finance Assistant will undertake functions as mentioned below:

  • Support the Finance Officer in the preparation and maintenance of financial records, ledgers, and reports.
  • Process daily financial transactions including payments, receipts, and bank reconciliations.
  • Ensure all supporting documents for financial transactions are complete, accurate, and properly filed.
  • Assist in monitoring project budgets, expenditures, and financial commitments to ensure compliance with donor and internal regulations.
  • Prepare and review financial vouchers, invoices, and expense claims for accuracy and completeness.
  • Support in the preparation of monthly, quarterly, and annual financial reports.
  • Maintain proper recordkeeping of petty cash and ensure accurate reconciliation.
  • Assist in the preparation of payroll and related financial documentation.
  • Support internal and external audit processes by providing required documents and clarifications.
  • Ensure adherence to financial policies, procedures, and internal controls.
  • Perform any other finance-related tasks as assigned by the supervisor.

Essential attributes:

Essential Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.

Essential Experience:

  • Minimum of 1-2 years of relevant experience in accounting or financial management, preferably in an NGO or similar setting.
  • Experience with accounting software and Microsoft Excel.
  • Familiarity with donor financial reporting and compliance procedures.

Competency profile:

  • Strong numerical and analytical skills.
  • Excellent attention to detail and accuracy in data entry.
  • Good communication and interpersonal skills.
  • Ability to work under pressure and meet deadlines.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • High sense of confidentiality, integrity, and accountability.
  • Ability to work effectively as part of a team in a multicultural environment.
