Executive Secretary

1. Background

Connecting Research to Development (CRD) is a consultancy and development organization that bridges research with actionable programming.

CRD is recruiting an Executive Secretary to support the Executive Office in daily management, documentation, and partner communication.

2. Purpose of the Position

The Executive Secretary ensures smooth, timely, and organized functioning of CRD’s executive operations. The role provides direct support to the Executive Director and acts as a coordination link between departments, partners, and external stakeholders.

3. Key Responsibilities

Administrative and Executive Support

  • Manage the Executive Director’s calendar, appointments, and communications.
  • Prepare and circulate meeting minutes, summaries, and action follow-ups.
  • Draft, proofread, and format official correspondence, memos, and presentations.
  • Support coordination with CRD’s leadership, partners, and donor agencies.
  • Maintain confidentiality and handle sensitive information with discretion.

Documentation and Information Management

  • Maintain and update CRD’s filing and documentation systems (digital and physical).
  • Support preparation of organizational reports, contracts, and official letters.
  • Track internal deliverables and ensure adherence to deadlines.
  • Coordinate the archiving of institutional and project documents.

Internal Coordination

  • Act as the focal point between the Executive Office and CRD departments.
  • Assist in planning internal meetings, workshops, and staff events.
  • Support logistical arrangements for missions, fieldwork, and stakeholder visits.

4. Competencies

  • Strong organizational and multitasking skills.
  • Excellent written and spoken communication in Arabic and English (French is an asset).
  • Proficiency in Microsoft Office and collaborative platforms (OneDrive, SharePoint, Teams).
  • Discretion, accuracy, and attention to detail.
  • Ability to prioritize under pressure and meet tight deadlines.
  • Professional demeanor and high ethical standards.

5. Qualifications

  • At least 5 years of experience in administrative or executive support, preferably in a consultancy, NGO, or development organization.
  • Experience with donor communication and project documentation is an asset.
