Financial Assistant - Tyre

Position Title: Financial Assistant
Duty Station: SHEILD South Office – Tayer Debba, Lebanon
Work Schedule: Monday to Friday, 9:00 AM – 4:00 PM
Duration: 4 months - Renewable depending on funding

 

1. Purpose of the Position

The Financial Assistant will support the Finance Department in ensuring accurate financial documentation, payment processing, data entry, and compliance with organizational and donor requirements. The role involves coordination with various departments to ensure smooth financial operations across all SHEILD projects.

2. Key Responsibilities

Assure all documentation is clear, including payments, salaries, and bank documents.

Prepare payments (OMT transfers, tables, bank transfers, and cash) for all SHEILD projects, and coordinate with Logistic Officers to ensure recipients receive their payments.

Reconcile petty cash book, SHEILD LBP payments, and VAT payments.

Enter all financial transactions and data payments in the General Ledger (GL) for each project.

Print requested purchase requests and payment orders, add budget lines after Finance Officer approval, and forward to the Executive Director for signature.

Coordinate with the Logistic Officer to ensure that all invoices are complete with required supporting documents (ID, PR or PO, GRN, phone number, delegation if needed, procurement file if needed) to proceed with payment.

Ensure all SHEILD documents are completed and signed by the Finance Manager, Executive Director, and General Coordinator.

Cross-check with Logistics to track casual workers’ working days in the field (warehouses and distribution sites) and prepare OMT tables and transfers for payment.

Coordinate with Logistic Officers to obtain receipts from suppliers after payment.

Prepare service providers’ contracts (Trainers, Drivers, Animators, Cleaners) for signature by the Project Manager and the service providers.

Prepare staff pay slips to ensure they are signed, and attach them to their payment documents.

Scan documents requested by donors and assist in preparing documentation for audits and donor verification visits.

Attend all meetings related to the Finance Department.

3. Reporting Line

The Financial Assistant reports directly to the Finance Officer and works under the supervision of the Finance Manager.

4. Required Qualifications

Bachelor’s degree in Finance, Accounting, Business Administration, or related field.

Minimum 1–2 years of experience in financial management or similar role.

Strong knowledge of accounting principles and financial reporting.

Proficiency in Microsoft Office (Excel, Word) and financial software.

Experience in working with NGOs and donor-funded projects is an asset.

Strong organizational and time management skills.

Excellent communication skills and ability to work in a team environment.
