Key Responsibilities
- Administrative and Organizational Support
- Maintain all digital and physical advocacy files, ensuring they are clean, up to date, and easily accessible.
- Organize and maintain the department’s calendar, including meetings, advocacy events, workshops, and deadlines.
- Prepare, format, and proofread correspondence, reports, meeting notes, and presentations.
- Support in drafting letters, invitations, and follow-up communications with partners and stakeholders.
- Manage logistical arrangements for advocacy activities (venue booking, supplies, materials, catering, transportation, etc.).
- Maintain and update contact databases of advocacy partners, media, and stakeholders.
- Enter and update data in relevant tracking systems, spreadsheets, and databases to ensure accuracy and completeness of advocacy records.
- Coordination and Communication
- Support internal coordination between the Advocacy Department and other FRH departments (Legal, Research, Finance, HR, etc.).
- Assist in liaising with external partners, institutions, and networks under the supervision of the Advocacy Officer.
- Follow up on pending actions, commitments, and reports with relevant staff or partners.
- Support in scheduling and documenting meetings, taking and circulating minutes, and tracking follow-up actions.
- Documentation, Data Entry, and Reporting
- Maintain and regularly update a centralized archive of advocacy materials, including reports, statements, press releases, event documentation, and media coverage.
- Ensure all data entry operations are completed accurately and in a timely manner, including event participant lists, correspondence logs, and activity reports.
- Ensure all documents are properly labeled and filed according to FRH’s filing system.
- Support the preparation of internal reports and donor progress updates by providing administrative and documentation input.
- Assist in monitoring advocacy activity plans and deliverables to ensure deadlines are met.
- Event and Campaign Support
- Provide logistical and administrative assistance in organizing advocacy events, workshops, and press conferences.
- Support in preparing event kits, registration lists, participants’ communication, and follow-up documentation.
- Assist in gathering visibility and communication materials before and after events (photos, attendance sheets, feedback forms, etc.).
- Working Relationships
- Internal: Advocacy and Communications Officer, Programme Manager, Legal and Research Units, Administration and Finance.
- External: Partners, networks, media representatives, event service providers, and stakeholders.
Terms of Employment
- Contract Duration: 12 months with the possibility of renewal.
- Probation Period: Three (3) months from the date of hire, subject to performance evaluation and confirmation.
- Working Hours: Full time from 9am to 5pm (Saturdays, if needed).
- Reporting to the Head of Advocacy.
Terms
- Location: The work is conducted mainly from the office (Badaro), but travel will be required for meetings, trainings and workshops.
Minimum Requirements
- Bachelor’s degree in Business Administration, or a related field such as Management, Public Administration, or Office Management.
- At least 3-4 years’ experience of relevant administrative experience, preferably in an NGO or human rights advocacy setting.
- Excellent writing and communication skills in English and Arabic.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Google products).
- Knowledge and experience in data entry operations and maintaining digital databases.
- Excellent command of Arabic and English (written and spoken). French is an asset.
- Familiarity with filing systems, document tracking, and online shared drives.
- Good organizational and multitasking skills with attention to detail.
