Background
IDRAAC is organizing an Exclusive Leadership Meeting on Mental Health in the Workplace, scheduled to take place on Thursday, 22 January 2026, bringing together senior executives and business leaders. To support documentation, donor reporting, and communication and visibility requirements, IDRAAC seeks to contract a professional videographer to capture the event and produce a high-quality edited video reflecting its key messages and outcomes.
Objective
The objective of this assignment is to provide professional video documentation of the CEO Leadership Meeting, capturing all core sessions, key activities, and participant engagement, and to produce an edited video that reflects the content, atmosphere, and impact of the event.
Scope of Work
Under the supervision of the designated focal point, the videographer will be responsible for the following:
Filming all main components of the meeting, including opening remarks, key speeches, presentations, and panel discussions.
Recording short on-camera testimonials with three selected CEOs and key speakers, preferably after the session, based on agreed prompts.
Ensuring high-quality audio recording throughout the event, including clear capture of speakers during sessions and clean sound for testimonials and interviews. The use of appropriate audio equipment (such as external microphones) is required.
Coordinating closely with the event and communications teams on-site to ensure priority moments and key messages are captured.
Deliverables
The videographer will be expected to deliver:
One professionally edited promotional video. The video should exceed one minute in length, with a recommended duration of two to three minutes to adequately reflect the meeting’s main components, atmosphere, and key messages.
Optional short video excerpts for social media use, if requested.
All video files delivered in high-resolution digital format.
Timeline
The final edited video must be submitted within two weeks following the event.
Ownership and Usage Rights
All video materials produced under this assignment will remain the exclusive property of IDRAAC. IDRAAC retains full and unrestricted rights to use the materials for donor and programmatic reporting, communication and visibility activities, websites, social media platforms, publications, and promotional materials. Any use of the materials by the videographer for portfolio purposes requires prior written approval from IDRAAC.
Duration of Assignment
The assignment covers the full duration of the event on Thursday, 22 January 2026, including post-event testimonial recordings.
Required Qualifications and Experience
Applicants should demonstrate:
Proven experience in professional event videography.
Experience covering high-level meetings, conferences, or executive events.
Strong skills in sound recording and video editing.
Ability to work discreetly in formal, high-level settings.
Access to professional video and audio recording equipment.
