Administration Intern

Key Responsibilities

Administrative Support

  • Assist in daily office administrative tasks and filing systems (physical and electronic).
  • Support document preparation, printing, scanning, and archiving.
  • Assist in tracking incoming and outgoing correspondence.

Office & Operations Support

  • Support coordination of meetings, trainings, and workshops (attendance lists, logistics, minutes if required).
  • Assist in maintaining office supplies inventory and administrative records.
  • Support basic procurement and asset-tracking documentation under supervision.

Data & Reporting

  • Assist with data entry, simple reports, and administrative trackers.
  • Support the preparation of administrative summaries when requested.

Coordination & Communication

  • Liaise with staff across departments to support administrative workflows.
  • Support coordination with external service providers when required.

Compliance, Ethics & Safeguarding

  • Adhere to CVC Charity’s Code of Conduct, Safeguarding, PSEA, and Confidentiality policies.
  • Handle documents and information responsibly and confidentially.
  • Report any concerns, risks, or incidents through established reporting mechanisms.

Learning Objectives

  • Gain practical experience in NGO administrative systems and procedures.
  • Develop organizational, communication, and time-management skills.
  • Understand internal compliance, documentation, and operational standards in humanitarian work.
