Procurement Coordinator

Procurement Management
•    Follow up on all procurement requests and ensure alignment with organizational thresholds and policies.
•    Implement the procurement policy step by step.
•    Manage the full procurement cycle (MR, PR, RFQ, bid analysis, PO).
•    Ensure proper documentation and archiving of all procurement files.
•    Monitor procurement timelines to ensure timely delivery.
Compliance & Integrity
•    Ensure transparency, integrity, and professionalism in all procurement processes.
•    Prevent and declare any conflict of interest.
•    Ensure procurement decisions are based on fair and documented criteria.
•    Maintain confidentiality of procurement information.Vendor & Supplier Management
•    Maintain and regularly update the vendor database.
•    Conduct periodic supplier visits and evaluations.
•    Ensure suppliers comply with the organization’s Code of Conduct and policies.
•    Identify and pre-qualify new suppliers when neededSystems & Reporting
•    Use procurement systems effectively, including the organization’s customized system (DDS).
•    Prepare regular procurement tracking reports.
•    Support audit requirements related to procurement.Coordination
•    Coordinate with Programs, Finance, and other departments to ensure smooth procurement operations.
•    Provide guidance to staff on procurement procedures.
•    Support emergency procurement needs when required.
Qualifications & Requirements
•    Bachelor’s degree in Business Administration, Supply Chain, or related field.
•    Minimum 3 years of procurement experience (NGO experience preferred).
•    Strong knowledge of procurement documentation (MR, PR, PO).
•    High level of integrity and professionalism.
•    Strong organizational and communication skills.
•    Ability to work under pressure and meet deadlines.
