Background:
The Personal Assistant will provide high-level administrative support to the Programs and Partnerships Coordinator ensuring the smooth operation of daily activities, effective coordination among departments, and successful implementation of strategic initiatives.
Key Responsibilities
1- Administrative Support:
- Manage the Programs and Partnerships Coordinator calendar, schedule meetings, and coordinate appointments.
- Handle correspondence, including emails and phone calls, on behalf of the Programs and Partnerships Coordinator.
- Organize and archive files and folders.
- Prepare and edit documents, reports, and presentations as needed.
2- Coordination:
- Facilitate communication and coordination between the Programs and Partnerships Coordinator and various departments, staff, and Amel centers.
- Assist in organizing meetings, preparing agendas, and taking minutes.
3- Travel Arrangements:
- Organize travel itineraries, book accommodations, and prepare travel documentation for the Programs and Partnerships Coordinator.
Other Duties:
- Handle any other tasks as assigned by the Programs and Partnerships Coordinator.
Qualifications, Skills and Requirements:
- Bachelor’s degree in Business Administration, Management, or a related field.
- Minimum of 2 to 3 years of experience in a similar role.
- Experience in the NGO sector is an advantage.
- Excellent organizational and multitasking abilities.
- Strong communication skills, both written and verbal.
- Fluency in English Languge
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Ability to maintain confidentiality and handle sensitive information.
