Facilities Administration Officer

Key Responsibilities:

Facilities Coordination & CAFM Control

  • Manage facilities requests through the CAFM system, ensuring proper assignment, follow-up, and closure.
  • Supervise CAFM operations including ticket classification, prioritization, SLA tracking, and data accuracy.
  • Coordinate across Facilities units to maintain service continuity and resolve operational issues.

Asset, Vendor & Operational Control

  • Maintain centralized asset and inventory tracking systems and ensure data accuracy.
  • Monitor asset movement, inventory levels, and resolve discrepancies.
  • Oversee vendor performance, SLA compliance, and service coordination, including invoice validation.

Reporting, KPIs & Performance Monitoring

  • Prepare operational reports and KPI dashboards.
  • Analyze performance trends, delays, and recurring issues.
  • Provide insights and support performance monitoring across all Facilities functions.

Administrative Governance & Documentation

  • Ensure proper documentation of work orders, contracts, and service records.
  • Maintain structured and audit-ready filing system.
  • Support compliance, accreditation, and internal audits requirements.

Event & Space Operational Readiness

  • Supervise venue booking and space allocation systems.
  • Coordinate faculties and facilities teams.
  • Ensure operational readiness for events (logistics and safety alignment).

Emergency & ICS Support

  • Support coordination and communication during emergency situations.
  • Ensure tracking and follow-up of emergency-related requests.

Required Qualifications:

  • Bachelor's in Business Administration / MIS / Management.
  • 4–6 years of experience in facilities, operations, or coordination roles.
  • Experience with CAFM or similar systems is highly preferred.

Preferred Qualifications:

  • Experience in a university or large institutional setting.
  • Proficiency in data reporting tools and KPI dashboard preparation.
  • Familiarity with procurement, vendor management, or asset tracking systems.

Working Conditions:

  • Office-based role supporting all campus operations.
  • Extended working hours during peak operational periods or emergencies.
