The reception clerk is a member of the reception team within the registration unit, in the protection section. S/he will be responsible for the entry and reception of persons of concerns into the UNHCR premises, with a focus on identifying vulnerable individuals for fast-tracking to the reception desks established for providing persons of concern with access to appointments/helpline, scheduled interviews, counselling on queries raised by the persons of concern regarding UNHCR’s procedures, their files with UNHCR and their rights and entitlements.
S/he will liaise directly with the Field Security Assistant and security team in identifying persons who may pose a security risk to the office for proper follow-up. S/he will also assist with the establishing of physical files and their circulation, along with other office correspondences, between registration/reception and other units.

UNHCR's Registration Standard Operating Procedures (SOPs) are implemented in accordance with relevant UNHCR standards and policies.
Persons of concern have fair and transparent access to reception/registration procedures.
Responsibility(process and functions undertaken to achieve results)
Identify persons of concern and organize their entry into UNHCR’s premises;
Identify and fast-track persons with specific protection needs and vulnerabilities.
Coordinate with the security team and Process Manager on the management of orderly entry into the building and reporting security incidents where applicable;
Counsel refugees and asylum-seekers, managing their expectations on protection, assistance and durable solutions, providing them with information at the reception and in the waiting areas on UNHCR’s procedures, their files with UNHCR and their rights and entitlements;
Assist asylum seekers and refugees with the completion of their application forms, where needed;
Assist with creating, organizing, maintaining physical files, including photocopying of documentation prior to interviews with the registration unit;
Ensure timely and efficient circulation of physical files and other correspondences between reception/registration unit and other functional units;
Schedule appointments for refugees and asylum seekers, through the hotline or in person;
Assist the registration team, where needed, with the capturing of biometrics (iris scanning) of the refugees and asylum seekers present at the reception centres;
Maintain accurate and up-to-date date records and data about refugees and asylum seekers received at the reception centres, as per the SOPs;
Act as an interpreter and translator, where needed, in case which s/he has the required language competencies;
Participate to possible mobile missions organized to respond to refugees and asylum seekers located in remote areas and/or with extreme vulnerabilities;
Apply anti-fraud safeguards and report known or suspected fraud as per the SOPs;
Perform other related duties as may be required.
