Human Resources Assistant - Beirut

Job Overview/Summary: The HR assistant assists the HR Manager in an effective and progressive HR Management (HRM) organization. The HR Assistant is responsible to promote quantitative aspects of HRM. She/he is in charge of all administrative issues for international staff and HRM for national staff. Major Responsibilities: Applies B&Z HR policies and procedures On boarding of new B&Z employee, as the Assistant HR Manager will be the first focal point for new comers. Assist in resolving administrative problems related to all departments by collecting information, preparing notes to the file, and getting approvals. Guarantees that personal files of all staff are administrated with appropriate quality. Be responsible for the logistical arrangements of meetings, workshops and other events in collaboration with logistics department. Prepare meetings, trainings, and workshops materials. Draft agendas, take minutes at meetings and workshops and maintain attendance sheets. Type correspondence, reports and other documents, requested by the HR Manager in English and Arabic Prepare all necessary documentation and make all arrangements for movements and missions. Payment preparation and follow up for employees and consultants working with B&Z Tracking, following up and collecting of time sheets and is responsible of them. Maintain a tracking system for all B&Z leave balance. Maintain and update the HR electronic and hard filing system Maintain the confidentiality of all sensitive HR information at all times. Show flexibility is supporting other field offices when necessary Ensure update of the HR database and periodical reporting to the HR Manager. Reports to HR Manager all relevant information on HR situations. Prepares certificates and other HR documents when needed. Any other tasks or responsibilities assigned by the HR manager. Key Working Relationships: Position Reports to:  HR Manager Job Requirements: Minimum of 1-2 years of professional experience in Administration/Office Management Strong ability to work independently, organize work, meet deadlines, maintain composure, prioritize work under pressure, coordinate multiple tasks and maintain attention to detail Strong sense of personal integrity. Previous experience with Administration and/or previous INGO experience are an advantage. Personal qualities: Works well in and promotes teamwork, comfortable in a multi-cultural environment, flexible and able to handle pressure well. Fluency in Arabic and English, both written and oral
