ESSENTIAL JOB FUNCTIONS:
I. Specifics:
Provide strong support for the Grant and Compliance Manager, being second in command in the sub unit.
Plan and conduct field visit at a regular interval with the standard terms of reference designed for this purpose
Depending on the risk assessment information, with supportive mind set perform periodic voucher review of each office.
Ensure all the internal audit recommendations or donor audit recommendations are consistently implemented in each office. Perform test to prove they are implemented and provide the necessary training where gaps are observed.
Perform periodic assessment of risks in each office (risk register) and deliver the required report to management in devising the necessary mitigating strategies
Perform, skill gap assessment of each office in operations and program team so that the necessary internal or external trainings are provided which support on compliance matters.
Ensure all program activities which hold in kind or cash distribution activities that the team members involved are familiar on the required documentations and the due processes that need to be followed up. As required, perform spot check of distribution list documentation.
Work closely with the quality control colleagues in the program to ensure that programmatic item specifications are meeting the standards required.
As required organize mini field level trainings to the compliance team.
Ensure that for all trips, there is observation report produced and follow up on the corrective measures recommended are being implemented to adequate standard.
Provide support to any donor or internal audit process.
Work closely with the program unit in the field that they are keeping project files based on the program management minimum standards.
