Position Summary:
The Administrative Assistant is responsible for overall operational support. S/he will be required to work in the main office located in Hazmieh. The Administrative Assistant works in cooperation with the office staff, interns and consultants to facilitate the administrative and logistics process. S/he will report to the Finance and Administrative Manager and assist with managing the office inventory, consumables, logistics, and related tasks.
Functions / Key Results Expected
Engage in meetings with Office Staff to assist in planning activities and taking minutes
Serve as point of contact on the overall office management, administrative and operations issues
Collect office bills for regular office expenditures and submit them for approval to the Finance and Administrative Manager
Maintain proper and confidential filing of program related documents, office asset register and project equipment inventory list
In coordination with Database-IT Officer, perform a quarterly count of the office equipment and update inventory list accordingly
Support the preparation of logistics related to donor and Area Ofice/HQ visits, conferences, workshops, seminars, meetings etc.
Maintain office functionality by ensuring that all office equipment is in good and operable condition and that adequate quantities of office stationery and supplies are maintained
Provide support in the daily management of drivers, guards and cleaning staff
Support logistics needs of the program, including travel itineraries, visas, and transportation of program staff, beneficiaries, and visitors, in coordination with the Procurement Officer
Provide general support to volunteers
Other duties as assigned by the Finance & Administration Manager
Qualifications
Bachelor’s degree from an accredited university in a relevant subject
3 years of experience working at international/local NGO, public or private organization in a similar role
Experience in development projects
Ability to work simultaneously on multiple tasks in a fast-paced working environment
Very organized with attention to detail and follow-up
Ability to maintain strict confidentiality
Working proficiency of English and Arabic is essential, and French desirable
Good computer skills with a in-depth knowledge of Microsoft Office and other relevant administrative software
Proven ability to be an effective member of a team
