The Near East Foundation (NEF) is seeking candidates for Finance Assistant position to be based in NEF Beirut Office. For 100 years, NEF has worked to build more sustainable, prosperous, and inclusive communities in the Middle East and Africa through education, governance, and economic development initiatives. Working through a network of country offices and local partners, NEF currently operates in eight countries: Armenia, Jordan, Lebanon, Mali, Morocco, Palestine, Senegal and Sudan. Its programs are organized around three themes: Peacebuilding, Sustainable Agriculture, and Microenterprise Development.
He/She will be responsible of for the day to day financial administration across the organization. This will involve providing support with various tasks including Payroll, Quick Books, and the preparation of all supplier payments and staff expenses. As on-the-job training, will be provided as part of the induction to get familiarized with relevant systems.
Main Duties and Responsibilities
Accounting:
Assist in the preparation of receipts and vouchers and their relevant formats, so that the financial details can be entered correctly in the Quick Books accounting system.
Maintain the recording of Data on Quick Books.
Ensure all invoices and expenses are authorized and coded correctly, including staff expenses.
Prepare supplier and staff expenses payments in line with payment policies.
Input all cash transactions and maintain files of cash receipts and payments vouchers.
To apply the basic accounting principles, knowledge, and techniques to analyze the variances, assist in production of journals, and perform routine accounting activities.
To perform accounting computations and calculations accurately, and try to identify if there are discrepancies, and if there are any errors, try to resolve them.
To provide support in preparing the financial reports in the accounting and finance system as per the instructions received from the line Manager.
To maintain, update, and retrieve the financial information from the financial database and system.
Ensure solid procurement procedures and routines in compliance with to NEF administrative handbook, procurement policy, anti-corruption guidelines and back donors’ requirements.
Ensure proper assets management and maintenance of the office premises, computers, accessories, furniture and equipment.
Ensure proper functioning of an archiving and documentation system, including uploads in Drobox, in accordance with NEF archive rules.
Liaise with NSSF, Insurance companies, Ministry of Finance and Ministry of Interior.
Payroll:
Coordinate with the Line Manager for Preparing the monthly payroll, and distribute pay slips to staff.
Deal with all staff payroll queries in the first instance.
Maintain up-to-date payroll records on Quick Books.
Ensure that all PAYE and National Insurance procedures are properly accounted for.
Other:
Follow up on the staff Insurance Contracts and update it.
Follow up on the staff vacations and update it.
Undertake any other reasonable duties, commensurate with the job title, as may be determined by the Line Manager.

Skills and experience
Essential:
Relevant accounting qualification(s), or the ability to demonstrate appropriate skills and knowledge.
Excellent numeracy skills & attention to detail.
Good verbal and written communication skills.
Good customer service skills.
Knowledge of the MS Office suite (particularly Word and Excel).
Experience of maintaining spreadsheets.
Desirable:
Some experience of Quick Books accounting system.
Some experience of NSSF and Payroll taxes and rates.
Some experience of designing spreadsheets.
Educational Background:
A high school diploma or a bachelor's degree from an accredited university supported by knowledge in book keeping, accounting, or finance would be sufficient to be eligible for the post of a financial assistant. You should have good math and computation skills to be able to make the calculations with good speed and accuracy.
