Financial And Project Assistant

  The Financial Project Assistant performs the following tasks:        A. Responsibilities Supporting KAS staff in all logistical, administrative and financial issues related to implementing KAS projects and networking with partners and important stakeholders. Maintain the office car.          B.  Tasks         1. Assistance related to financial work Follow up with the suppliers and project partners on financial and documentation issues. Prepare the invoices from suppliers and projects according to KAS standards. Booking invoices into the PASTIS System used by KAS. Assist in administrative tasks.        2.  Assistance related to project work            Supports in event management, especially procuring services, materials and equipment on request. Accompanies other KAS staff to events and supports them at the venue as needed. Supports in booking flights, tickets and hotel reservations as well as transport. Supports in filing properly. Supports in scanning documents. Supports in follow up on inventory (numbering, sorting out etc.). Drives professionally and secure. Transport all KAS staff, delegations, visitors, and other individuals as directed, in a safe and responsible manner. This may include shuttle transportation for KAS staff and guests and various activities, shuttle transportation for conventions and conferences, airport runs, etc. Transports products and delivers post to public and private institutions or individuals on request. Delivery and pickup – in a secure way - of items, documentation ensuring accurate capture of what the item/documentation is, who requested the transport of the item, who received the item, and obtaining proper signatures and number of file if handed over to official institutions. Responsible for maintaining all car papers up to date including performing the annual maintenance work at the local authorities and providing the temporary entry of any KAS staff cars. Accurately complete and submit all necessary paperwork, such as daily car log book papers. Keep assigned vehicles free from damage, in acceptable condition and consistently in a clean manner. Employee must ensure that the vehicle is in proper and safe condition prior to use, and accept responsibility to report any damage or mechanical malfunctions that exist. Employee accepts responsibility for proper use and maintenance of car keys. Maintain an excellent driving record, meaning that a valid driving license must be presented at the time of employment. Supports in follow up of logistic preparations in the office.        3. Other functions Be willing and able to work after official working hours and on the week-end/holidays when necessary; as long as the necessary free time according to law regulations is granted. Work extra/overtime hours as needed according to workload and meetings. Overtime hours will be compensated by free time. Complete all other tasks as assigned.        4.  Required qualifications, competences and experience B.A. degree in relevant field Working experience in administration and/or project position. Valid Driving License Good organizational skills. Excellent knowledge of written and spoken Arabic and English,  German language would be an asset Good computer skills (incl. Word and Excel in a Microsoft Windows environment). Ability to work in an intercultural environment. Demonstrate dependability and self-motivation. Maintain high level of personal integrity and reliability.
