We are looking for a highly qualified candidate who has the skills to join MARCH as a Procurement & Administrative Manager.

Position Title: Procurement & Administrative Manager
Reports to: General Coordinator
Main Role:
Provide an effective and timely procurement and administrative services for MARCH projects and activities, to ensure that all purchases represent the best value for MARCH, and best use of donors’ funds.
Support the integrity, effectiveness and efficiency of the MARCH Procurement and Administrative processes. Develop strong, open and reliable relationships with existing and potential partners and stakeholders to maximize the value they contribute to MARCH.
Specific Job Responsibilities:
Prepare employment contracts, end of contracts as required
Supervise staff attendance
Manage any HR request.
Answer and direct phone calls
Plan, organize and schedule appointments for General Coordinator
Write and distribute email, correspondence memos, letters, faxes and forms
Order office supplies and research new deals and suppliers
Coordinate and oversee the day to day management of supplies, equipment, and facilities for the organization, as appropriate to include maintenance, inventory management, logistics and related activities
Book conference rooms and travel arrangements
Submit and reconcile expense reports (Petty Cash)
Provide general support to visitors
Assist in photocopying and printing of documents
Manage and coordinate negotiations with all interested parties, including contract disputes and claims.
Ensure complete and accurate records are assembled and maintained for all procurement transactions (hardcopy and / or softcopy as appropriate).
Ensure supplies are delivered on time, as and where required.
Provide appropriate support to other staff and volunteers.
Issue all appropriate legal paperwork
Track the progress and quality of work being performed
Communicate ideas for improving company processes with a positive and constructive attitude, and for developing this attitude in others
Perform other tasks related to the procurement and administrative functions as requested by the line manager
Working Conditions:
Procurement & Administrative Manager usually works in an office environment but the purpose of the project may take them to non-standard workplaces to meet project milestones.
Procurement & Administrative Manager works a standard work week but may be required to work some evenings and weekends to meet project milestones.
