Project Secretary

  The Secretary is responsible for providing secretarial and administrative support in order to ensure that services are provided in an effective and efficient manner. The incumbent's main responsibilities include: Arranging and confirming appointments Receiving, directing and relaying phone calls and fax messages Maintaing filing system Assisting in the preparation of meetings and trainings Drafting minutes of meetings Maintaining databases Directing the beneficiaries to the appropriate staff member Maintaing confidentiality Receiving and screening visitors Maintaining office supplies inventory Determining needs and ordering office supplies, equipment, repair and maintenance services Performing other tasks as required by the Project Coordinator or the Center Director
