POSITION OBJECTIVE
The Outreach and Communication Specialist is responsible for the communication strategy and its implementation. In addition to serve as outreach to partners and municipalities; s/he creates/develops communication materials, and serves as design and content manager for the BALADI CL internal web sites and donor’s website and social media when necessary
DUTIES
• In consultation with the relevant and support departments, draft the program briefing/publicity materials including, program profile, projects fact sheets, success stories
• In coordination the supervisor develops all BSMPs plan for each project and ensure their implementation
• Proactively develop cutting-edge media materials, including videos, and social media products
• Organize outreach materials to ensure there are enough products in hand to promote the program
• Guide experts on editing videos of BALADI projects
• Solicit information for success stories from relevant departments and partners, edit and or draft success stories with appropriate photographs
• Ensure that all program materials are translated as needed with a high translation quality
• Develop all launching ceremonies documents and coordinating with relevant entities to ensure their accuracy
• In coordination with relevant departments ensure that the projects information reach all relevant communities through an engagement process. This can be through the kick-off events, round tables, publications…
• In Coordination with the CL communication department, ensure that all Head of Sectors of CL are invited to the projects of their areas and aware of all related events
• Responsible for the Data management of the server and ensuring they’re up to date
• Responsible for the ongoing design and update of the BALADI website
• Ensure that partners websites/Facebook pages are actively used and updated of highlight the program achievements and events
• Solicit input from various departments, team and partners to help establish and maintain a database of project lists, partner lists, photo archives, presentations, site visit kits, press kits…
• Monitor and ensure a regular supply of current outreach materials
• Manage, organize an update the program photo library, ensuring that a selection of high quality photos with appropriate content are available to be used for reports, success stories, website, Facebook…
• Write press releases, speeches and talking points as required.
• Write and organize background briefing for media
• Assist in reviewing the daily press for development topics and BALADI news, prepare press clips and share them with the program relevant head of departments and USAID AOR when needed
• Ensure that all articles in the media are documented per project and saved in the relevant files, this include kick off events, closure events, articles…
• Assist with the setup and coordination of press conferences and field events related to the Baladi activities in coordination with CL communication departments and USAID relevant representatives. This may involve participating in advance team planning activities from SI, coordinating event schedules, ensuring staging requirements, and assisting with donor and CL protocol requirements
• Proactively proposing innovative ideas for the program promotion events. This can be through press conferences, TV/Radio interviews, VIP site visits CL and USAID, photo exhibitions, municipalities events in relation to the BALADI program
• Produce or assist the all components of the program in producing and documenting all kinds of program related reports including visibility material
• Reviewing all reports or external letters related to the Baladi program
• Prepare and edit press releases, program related progress reports and documents
• Support and participate in the coordination, planning and implementation of events; development and implementation of workshops and campaigns; data and statistical reporting; and facilitating any other communication projects that may arise
• Serve as photographer and videographer for major events
• Develop a comprehensive media relation’s strategy and media plan in coordination with CL communication department
• Implement media plan with assistance of project managers/directors/stakeholders
• Organize media materials and logistics for the events
• Supervise, design, author and/or edit all media documents
• Present all media documents to management for final approval
• Ensure that the program is highly representative
• Any other task assigned by the supervisor
BUSINESS SKILLS
• Knowledge of MS Office software, web design, HTML and other media, software packages (i.e. Photoshop, video editing software) is required
• Experience using Facebook, Twitter, and YouTube (preferably for organizational outreach) is required.
• Capable of crafting information messages in various media formats (press releases, websites, videos…) targeting a variety of audiences
• A working knowledge of media relations, publishing and event planning fields
• Strong organizational skills; ability to interact effectively with personnel and beneficiaries
• Excellent reporting, communication, interpersonal and negotiation skills
• Ability to establish and maintain collegian relations with press and media contacts, and to use sound judgment in presenting development projects to the press, media and external audiences
• Strong organizational skills to effectively plan a variety of different events directed at promoting publicity for donor funded projects
• Ability to multi-task and understand needs and interests of partners, USAID and other relevant stakeholders
• Ability to work in a team and efficiency under stress
