Under the overall supervision of the Head of Office Beirut, Lebanon and the direct supervision of Resource Management Officer, the successful candidate will be responsible and accountable for providing necessary support to Financial functions of IOM Beirut mission and hub/satellite offices.
1. Responsible For Preparing Monthly And Yearly-End Closure documentation and submit to RAS.
2. Maintain Vendor accounts in SAP (clearing vendors) and also regularly Monitoring of Cash and bank balances.
3. Reviewing Budgets And Assist RMO In Preparation of The Budget Performance Report And Analyse The Variances Between Approved Budgets And Actual Expenditures and Follow Up With project staff
4. Verifying Payments & Settlements Before Proceeding With Payment Request & After Posting In SAP, and ensure That All Supporting Documents And Other Requirements Are Complete
5. Assisting RMO In Keeping Internal Control And Ensure The Integrity Of All Data Posted In PRISM.
6. Create New Projects Structure in the system & prepare BNP when required.
7. Coordinate With Other Units And Provide Support On Financial Procedures And Policies ,
8. Create/Edit/Block/Delete Vendors in SAP.
9. Invoicing The Small Missions (Selection & Cos) Whenever Is Requested
10. Monitor The Temporary Charges To Mission Project (MI), And Raise Any Issue To RMO
11. Deal With Bank & Prepare All Needed Documents.
12. Preparing Financial Reports Whenever is Requested
13. Preparing & Reviewing Budgets For Selection Missions
14. Monitoring And Follow Up With Other Departments For Clearing Of Commitments Due On/Before Closing Of projects.
15. Provide guidance to Finance Team in the absence of RMO; support other colleagues in the unit as necessary & guide, train and monitor work of Finance Team as assigned by the supervisor.
16. Ensure timely preparation of monthly mission funding requests.
17. Keeps up-to-date on documents/reports/guidelines that have a bearing on matters related to finance, ensuring compliance with IOM policies and procedures
18. Provide procedural and technical support and advice to other units in the mission.
19. Performs other related duties, as assigned
