Data & Information Management Officer

Main Role: Follow-up all processes related to the ID’s (Members & Volunteers) from the start until the signing and delivered to the concerned members. Prepare a monthly report and a final report includes the finding of the challenges encountered in the implementation. 1.     Tasks related to Data & Information Management   Develop and monitor/review of data and information related to the IDs of Youth department volunteers and members, including data protection, information audit, data consistency and a record management policy, on behalf of the Secretary General in accordance with LRC Statutes & membership bylaws. . Ensure data and Information compliance with LRC Statutes & membership bylaws. Work in conjunction with LRC IT Director in support of the relevant data & information management system.    Liaise with Head of Youth Centers/Clubs to ensure ID guidelines & policies are implemented to conform to LRC bylaws requirements. To produce information, data and statistics including the analysis of such, across a range of subjects as agreed. To maintain confidentiality and observe data protection guidelines. Compiling, classifying, verifying accuracy and sorting information such as chronological, alphabetical, or numerical order to prepare source data for computer entry. Reviewing data for deficiencies or errors, correcting any incompatibilities and checking output.   2.     Tasks related to Filing & Archiving:   Develop an efficient filing system to make updating and retrieving files easier. Create personal hard & digital files for every and each Youth member and/or volunteer in conformity with the electronic information management system. Check incoming paperwork (correspondence, supporting documents  etc.) and make copies before filing and/or distributing. Sort all papers alphabetically and according to content, dates, significance etc. Create or update records with new files and information. Store all paperwork in designated places securing the important documents. Enter paperwork into an electronic system either by data entry or by using optical scanners. Deal with all requests to access files and keep logs of borrowed papers. Follow policies and confidentiality dictations to safeguard data and information Monitor inventory of files, paper clips etc. and report shortages Research and obtain further information for incomplete documents. Perform backup operations. Maintaining and keeping up-to-date a master list of archived files, being able to retrieve archived files
