GENERAL RESPONSIBILITIES
Support the HR coordinator in order to enhance the quality and quantity of the services provided by the HR department in the mission.
DETAILED RESPONSIBILITIES AND TASKS
Objective 1 : Support the recruitment process
Post all vacancies for the mission on relevant webistes and email them to mailing lists *** Plan written tests and interviews, invite applicants, supervise sessions *** Look for new recruitment sources
Objective 2 : Support the day to day HR administrative process in Beirut
Liaise with employees and travel agent to identify best flight options *** Support leave request preparation and leaves follow up *** Help prepare perdiems *** Organize briefings with coordination employees for new comers *** Ensure appropriate update of the HRIS (HR information system) *** Maintain excellent archiving of all files
Tasks specific to national staff management :
Follow up on attendance *** Follow up on work contracts *** Answer to adhoc requests from the employees (such as work certificate, NSSF certificate...)
Tasks specific to expatriate management :
Help prepare perdiems *** Support visa and work permits files preparation *** Manage accomodation bookings in the shared flats (guesthouses)
Objective 3 : Equipment management and office maintenance
Management of Virtual Campus (dedicated training website)
Enroll new employees in Virtual Campus and send them a welcome email *** Activate the training requested by all employees (weekly) *** Troubleshoot and liaise with HQ for any technical problem *** Export a weekly follow up of the trainings done, analyse and flag employees who are late on their commitments
Support trainings on HR related topics
Develop training material on specific HR topics *** Organize training sessions and support the presentation during sessions
Objective 4 : Various secretarial and translation tasks
Translate to/from Arabic/English as needed (memos, messages, letter) *** Draft HR communication messages (memos, whatsapp...) *** Ensure basic support to the bases when the HR focal point is absent/overloaded *** Prepare Action Against Hunger ID cards for all new employees *** Support the declaration and payment for R3, Income tax, NSSF and any other applicable HR fiscal rule.
Objective 5 : Security
Respect the rules specified in the mission and base security plan and perform the security management tasks that can be assigned in its protocol *** Communicate to the security managers of the working location any security-related information or non-compliance with the security plan
Objective 6 : Others
Be committed to participate in any other work assigned by the line manager in order to achieve Action Against Hunger's projects goals *** Frequent visits to the bases providing logistics support when needed
REQUIRED SKILLS, AND ABILITIES
Excellent Planning and Organization (meeting the deadlines will be crucial)
Working towards objectives (the assistant is expected to take ownership of the tasks delegated and do whatever it takes to achieve them. Lots of pro-activity is required, including asking questions and flagging difficulties early)
Motivation and ability to learn fast can compensate a lack of relevant studies/experience though a diploma in HR, administration and relevant experience (HR, administration, secretarial work, customer service) is a big plus
Teamwork and service-oriented mindset (the assistant is expected to provide excellent service, including attitude to all employees and convey high professionalism when interacting with stakeholders)
Perfectly fluent in Arabic and English and ability to communicate clearly verbally and in written
