Support Services Administrator - Part Time Marjayoun

PURPOSE OF POSITION: To support and assist the Area Manager and team in human resources, administrative and procurement tasks as per World Vision policies and procedures. MAJOR RESPONSIBILITIES: Contact local consultants or consulting firms and collect CVs or proposals for capacity building trainings of staff and local partners and for other services as needed in close coordination with the Human Resources Department and in compliance with the procurement policy. Prepare the “agreement to provide services” document and follow-up with related parties on the needed signature. Develop and maintain a list of universities in the area with contact details for internship or recruitment opportunities. Support in developing an employee orientation with close coordination with the Project Manager and the HR department. Update the workforce planning sheet and send it to the HR department on a monthly basis. Monitor the team’s attendance and report to the Project Manager accordingly Maintain the office administrative files, ensuring the confidentiality of documents. Oversee office equipment maintenance and vehicle repairs, maintenance and servicing (mechanic) in a timely manner. Ensure kitchen and stationary supplies are ordered in a timely manner. Assist in all logistics tasks related to training and events in coordination with NO office Manager Finalize Purchase Request Forms for all assets, services, office supplies purchases at the zonal office on a monthly basis. Track and follow up on all Purchases that are under the set threshold in the Procurement Policy Ensure that the procurement processes are properly followed by the area team Handle office asset lists Be aware of the emergency procedures in a response and ensure that necessary preparedness measures have been implemented Perform other tasks as assigned by the Area Manager Attend and participate in staff spiritual nurture events as well as other organizational events Participate in local CB events as required Responsible of own security and actively contribute to a positive security culture Abide by the security policies and procedures and report any incidents or breaches to line manager and / or security manager KNOWLEDGE, SKILLS AND ABILITIES: University degree in a field related to business administration At least one year experience in a similar job Good interpersonal and communication skills Good organizational and Time management skills Computer literate with a high degree of proficiency and productivity Good written English Good Knowledge of WVL’s procurement and HR policies A full commitment to World Vision’s core values and mission statement. Full Adherence to security protocols 100% Office-based Position may require occasional local travel Position requires willingness and ability to continue to function during a crisis situation, including during a World Vision response to a manmade or natural disaster.
