1.       BACKGROUND The Danish Refugee Council (DRC) and the North Lebanon Local Economic Development Agency (LEDA) are implementing a project aiming at promoting the self-reliance among vulnearble refugees and Lebanese in Tripoli. The project is funded by the Bureau for Population, Refugees and Migration (PRM) and implemented by Danish Refugee Council (DRC). LEDA ’s human resources and technical skills will be partnered to this end. The purpose of this project is to promote self-reliance among vulnerable refugees in North Lebanon (Tripoli city), through vocational training and job internships/placement. 1.1   Project objective 1: Vocational training for 105 Syrian and Lebanese beneficiaries The vocational training will be provided directly by LEDA or by other certified vocational training institution of Tripoli according to the selected topics, which will be defined based on the market assessment conducted by LEDA and the livelihood profiling of beneficiaries conducted by DRC.   1.2   Project objective 2: Internship and job placement for 105 Syrian and Lebanese beneficiaries All the 105 beneficiaries enrolled in the vocational training will be linked to employers and receive one month on the job training and 2 months of paid internship (for a total of 2 months overall). North LEDA is currently in the closing phase of the project; for this phase, a graduation event is required to distribute certificates for 105 beneficiaries with the support of the Chamber of Commerce, Industry, and Agriculture in Tripoli. For this aim, North LEDA is seeking an external consultant to provide logistics support for the implementation of this activity.   2.       EXPECTED RESULTS Organize and facilitate the logistic of the graduation event for 105 trainees in presence of their parents, the donors’ and LEDA’s partner and network.   3.       SCOPE OF WORK 3.1   The event planner will be in charge of the following: Taking into consideration that the graduation event will be hosted by the Chamber of Commerce, the event planner will have responsibility for preparation and management of all logistical issues and arrangements related to hosting a successful and professional graduation event. The tasks that are being requested under this assignment are as follow: a)      Participants’ management Invitation and information to participants: Send invitation to all participants, including speakers, facilitators, etc. follow up and on invitations via telephone email, fax, compile confirmed registration lists participants, speakers support staff, event tea, etc. b)      Conference venue arrangement b.1 Conference Venue -      Arrange (main room and break away rooms) according to specification fr the event as required. -      Assigning name tags to the seats. -      Ensure all required audio-visual equipment is available/ acquired in all the rooms as required. -      Provide the equipment/ services and facilities in and out of the room. b.2 Participants Registration and Information Support  -      Arrange and manage participants’ registration. -      Prepare and maintain participants’ registration (with relevant contact details). c)       Other logistical arrangements and event management -          Provide stationary items. -          Design and create name tags for all participants, speakers, media and VIPs. -          Design and print the publications and visibility materials for the event (invitation cards, banners, rollups, certificates…). -          Ensure the final set up of the location and its logistics (sound system, decoration…) -          Provide catering for 150 invitees, sweet and salty buffet. -          Coordinate media coverage for the event including press release and public media advocacy.  4.       LOGISTICS AND TIMING 4.1   Location The Event will take place at the Chamber of Commerce, Industry, and Agriculture in Tripoli, Bechara El Khoury Boulevard, Tripoli – Lebanon. 4.2   Start date & Period of implementation of tasks The starting date for the preparation is on the 29th of September 2016; whilst the date of the event is on the 12th of October 2016.     5. DELIVERABLES The Contractor will submit the following deliverables in Arabic or in English in two original copies:- Inception report and final report. The report shall contain a sufficiently detailed description of the different phases of the implementation, difficulties and unforeseen events along with recommendations. The final report must be provided along with the corresponding invoices and receipts.
