Operations Assistant

Under the overall supervision of the Head of Office, direct supervision of the Operations Officer, and in close coordination with Senior Operations Assistant, the successful candidate will be responsible and accountable for supporting the UK Resettlement’s video conferencing project.   Prepare and schedule daily interviews by video conference for refugees accepted under the Vulnerable Persons Resettlement (VPR) project. Coordinate schedules and logistical arrangements with the field offices and with Operations Assistants in Beirut to ensure refugees attend their interviews and combine with VAC appointments if possible. Contact and inform all refugees in Beirut area of their interview appointment.     Receive and welcome refugees to the interview location, verify their identity, and explain the procedures. Oversee the daily schedule and ensure each refugee attends his/her interview. Prepare daily and weekly reports of attendance and inform Beirut Operations and relevant counterparts accordingly. Maintain proper spreadsheets of appointments. Keep immediate supervisor informed of the progress and any issues during the day. Attend to and address any issues that may arise in coordination with relevant colleagues in the main office, incl. IT, Procurement and Operations. Perform other duties as may be assigned.
