Together with the HR Co, ensure that all MSF staff has applied and obtained on time any visa, stay, travel or working permits in the mission country according to needs, and keep information on legal, administrative procedures
Maintain the support travel service in HQ informed about ongoing processes, specific situations or changes in the procedures related to visas, working permits, etc..
Know all the procedures that MSF needs to follow in order to import goods from any country and assist the mission in following these procedures, in cooperation with the LogCo and the logistic department of the mission.
Follow up clearances of MSF cargos and informs about any possible planned or extraordinary needs.
Establish and maintain professional contacts with relevant authorities, depending on the context and the needs of the mission.
Arrange meetings related to administrative issues for the Head of Mission or the HRCO as well as attend them.
Keep a complete and updated detailed list of all useful contacts in the Country/Mission with names, telephones, addresses and other relevant details.
Ensure, together with the MCT members that all MSF activities are running lawfully and in agreement with the Memorandum of Understanding in all administrative or customs related issues and inform about any possible risks or problems.
Ensure that no illegal money is paid to any authorities or any individual, promoting and sharing MSF principles and values at all levels.
Keep all documentation and files updated, properly filed and easily accessible for the internal users.

ADDITIONS TO THE MAIN PURPOSE
Identify, Create, and Sustain, strong bonds and relationships, with External stakeholders of the Mission, especially Public administrations, Ministries, Social Security, Embassies and Consulates, Public Security Agencies;
Process all external administrative work, with the external stakeholders on the Mission’s level, and offer support in that area to all coordination departments and projects,
ADDITIONS TO ACCOUNTABILITIES
Collect, compile and prepare all documentation needed for visas and work permit applications
Establish and maintain strong communication and relations with The Lebanese General security; identify key persons in the GSO and report frequently on any changes in their positions and/or profiles; propose strategies and techniques to facilitate and standardize work with GSO;
Establish and maintain strong communication and relations with Lebanese Customs, on the seaports, airports and terrestrial ports on the borders;
Establish and maintain strong communication and relations with the Ministry of Labor, Ministry of Interior, and Ministry of Finance, Ministry of Foreign Affairs; identify key persons; propose strategies and techniques to facilitate and standardize work with these mentioned Ministries;
Act as a link with the Mission’s auditor; review NSSF and MOF forms for new hired employees; review and deliver documents and files to the auditor’s office; review NSSF and MOF forms for employees with terminated contracts; in case there is no mission’s auditor, prepare and submit the forms to the NSSF and MOF.
Register employees’ contracts in the ministry of Labor;
Act as a link with the Mission’s lawyer office; in matters of delivering and retrieving and reviewing documents;
Produce a monthly narrative report, on the relationship status with public administrations and ministries, including any change that might affect the mission’s work and objectives;
Act as a link with embassies and consulates in matters of retrieving, delivering, reviewing documents; also submitting the Mission’s staff Visa applications if needed;
Establish and revised all documentation related to rental contracts of premises of the mission
