It Assistant - Emergency Response Division - Beirut

Objective 1:  Draft and Support the Log Coordinator editing the HI IT procedures and Guidelines: 1.1.1       Support on the draft and the update of the IT and telecommunication procedures and guidelines for HI Lebanon. 1.1.2       Ensure that IT procedures and guidelines are respected on a country level. 1.1.3       Organize specific trainings/workshops to enhance HI members’ IT skills. 1.1.4       Maintain good communication lines within the logistics department on Beirut and on the bases and retain good coordination with all parties.   1.2          Report, Audit and Administer: 1.2.1       Collect and centralize all equipment data related to IT in Beirut, Tripoli and Zahle Bases. 1.2.2       Edit in collaboration with your Line Manager a weekly activity report and forecast (Procurement, Maintenance, IT Stock, and TSE). 1.2.3       Plan Field Visit when there is IT support need. 1.2.4       Enhance and monitor the quality of the IT service using a proper assessment form. 1.2.5       Fill up the IT part of the monthly logistic report. 1.2.6       Organize an adapted report on maintenance of the IT equipment on a country level. 1.2.7       Inform your line manager, technical advisor and logistics managers on any problem related to IT in Beirut and the bases.   1.3          Ensure data security: 1.3.1       Ensure a continuous back-up system of all computers on a country level in line with the procedure. 1.3.2       Supervise the maintenance and the user’s training of the NAS system on a country level in order to secure data sharing and back-up. 1.3.3       Conduct regular updates on the antivirus licenses on all laptops on a country level. 1.3.4       Advise HI members on how to maintain database security and confidentiality. 1.3.5       Ensure an adequate, accurate and secured IT system for premises and offices (Internet connection, NAS storage, Back-up systems, telecommunication devices and restrictions) 1.3.6       Ensure the management of the telecommunication devices, restrictions and the communication with the supplier.   1.4          IT Technical support for Beirut Offices and Guesthouses: 1.4.1       Express the IT related purchases needed in Beirut and transfer them to the supply assistant. 1.4.2       Support Supply Assistant in identifying IT suppliers, and collecting quotations. 1.4.3       Ensure all the needed information is recognized on the quotations. 1.4.4       Make sure to always consider value for money having in mind quality and sustainability of the goods. 1.4.5       Check the merchandise purchased for quality and quantity, control the conformity of the goods upon suppliers delivery and request technical validation by Budget holders if any doubts. 1.4.6       Report any difficulty/issue with supplier to line manager. 1.4.7       Enhance accesses to IT system for all Beirut users (fill the gaps, train users and visitors…) 1.4.8       Perform regular check-ups on IT equipment, software updates, and users’ management.   1.5          Stocks and Inventory of Equipment in Beirut Offices and Guesthouses: 1.5.1       Ensure the respect of HI IT related stock management procedure: Stock items request, stock cards, delivery notes and lending certificate. 1.5.2       Carry out regular inventory update of the equipment of Beirut base to maintain a good level of stock accordingly. 1.5.3       Monitor the equipment inventory for the Beirut Offices and Guesthouses in line with the Logistics IT Assistant. 1.5.4       Ensure the updating of the TSE for Beirut base (table of follow-up of equipment) on a weekly basis.   Objective 2: Support Supply department on the data entry 2.1          Support Logistics Department on editing, implementing or improving logistics tools and software if requested by your line manager. 2.2          Support on filing, archiving, scanning documentations if requested by your line manager.   REQUIREMENTS Education and professional background Bachelor Degree in Computer Science or equivalent Experience: at least 2 years on a similar position NGO experience is an asset Personal qualities & soft skills:         Strong communication Skills Punctual, hard worker and autonomous Organizational Skills Diplomatic with good teaching skills Capacity to work in a multidisciplinary and multicultural team Languages: English, Arabic mandatory (oral and written), French a plus Excellent Computer skills   JOB CONDITIONS Remuneration: according to HI salary grid Starting date:  01/03/2016 Duration/ Type of contract:  Fixed Term Contract till end of May 2016 (renewable) Social insurance: Covered by Handicap International
