Responsibilities/duties:
Develop, implement, modify, and document recordkeeping and accounting systems, making use of current computer technology;
Follow-up the payment of the staff salary; starting with attendance checking with leave days and updating the HR file
Preparing the planning of expenses (LP) in coordination with the FACs the logistician, the technical staff for PM approval;
Monitor all cash - flow movements, Cheques preparation and transfers;
Keep updated on project budget allocation, financial conditions and constraints;
Prepare project financial reports in close coordination with other staff members as cover preparation, checking and filling;
Contribute to the preparation of budget modifications and suggest appropriate revisions (Budget revision)
Monitor the level of expenses in relation to available budgets with PM;
Contribute to the preparation of the budgets for new projects and activities (budget proposal);
Participate in staff coordination meetings and contribute to/follow up all the administrative issues;
Organize the human resources records: contracts leave plans, disciplinary files etc.; and participate in candidate’s interviews.
Follow up with new staff to provide the legal documents and to send it to lawyer for NSSF registration; preparing INTERSOS ID for new staff; Asking the Bank for account opening for new staff;
Follow up all the procurement procedures (bids, offers, appraisals of quality and prices) and prepare the contracts with awarded suppliers in collaboration with the logistician, in English and in Arabic
Keep the archive of the invoices;
Manage the daily relations with the Bank,
Any additional task strictly related to the role and necessary for the implementation of the activities.
