Administrative Assistant

Child Protection Policy -     Commit to respect the Tdh Child Protection Policy and principles of child protection. -     Commit to ensure the best implementation possible of the Child Protection Policy inLebanon. -     Commit to inform supervisors and to deal with any cases, allegations, or possibility of transgression, even potential, of the Child Protection Policy.   Main duties and responsibilities: -          Provides direct support and assistance to the administrator coordinator, in all aspects of Tdh’s projects inLebanon. -          Manages the petty cash box of the Delegation   Specific Duties and Responsibilities:   Subjects Responsibilities Accountancy Manages the petty cash box of the Base, do a daily cash count. Ensures that enough cash is available daily in the cashbox and makes appropriate request in advance following the cash flow plan. Records accountancy entries in SAGA on a daily basis and makes sure that the cash inventory matches with the balance book.( After appropriate training, within 3 months) Proceeds to regular cash inventory (weekly, monthly) in cashbox, to be signed by the administrator. Manages the advance cash and update the cash advance book   Translates  the bills (date, amount, main subject, supplier). Checks invoices and makes cash and check payments Codifies the invoices and applies them to the corresponding budget. ( After appropriate training, within 3 months) Establishes a connection between ledger, documents and physical counting ( After appropriate training, within 3 months) Closes the cash account every month (counting, printing). ( After appropriate training, within 6 months)   Maintains allocation and consumption records of the telephone recharge cards. General Administration Duties Takes minutes at staff meetings. Typing of letters, filing, and archiving when needed. Provide support in the elaboration of financial reports and other required documentation.   Human Resource management National Staff Updates the Tdh staff contacts list and annual leaves follow up Ensures that staff files are properly documented and updated with a check list Arranges travel, accommodation, and transport for national staff members when necessary. Assists the administrator in supplying information about administration rules and policies to all staff. Manage all taxes payments (mainly social security and income tax- After appropriate training, within 2 Months) Participates in the recruitment process (schedules meetings with applicants; organises recruitment tests if needed, prepare replies to applicants and sends  to Administrator for signature, requests references, prepares staff recruitment file…) Expatriates Deals with local authorities and expatriates for visa, driving license and travel permits / camps entry authorisations issuing and renewal. Arranges travel, accommodation, and transport for staff/expatriate members when necessary.
